Spire Gatwick Park Hospital have an exciting opportunity for a Theatre Scheduler to join our Team.
In this key role, you will work closely with the Capacity Manager, Consultants and their Medical Secretaries to ensure the efficient scheduling of theatre time and coordinating bed activity. Your strong organisational skills and attention to detail will help optimise theatre utilisation, ensuring a smooth and effective patient journey.
Duties & Responsibilities:
1. Liaise with the Theatre Manager, Ward Manager, Pre-Assessment and People Support Centre along with the Capacity Manager to ensure effective communication and collaboration between departments
2. To review all booking forms and allocate theatre space based on theatre sessions and bed capacity
3. To actively offer theatre availability to consultants and secretaries
4. Forward plan the utilisation of theatre time by working closely with the Theatre Manager, Ward Manager and emailing consultants with available theatre sessions
5. To proactively respond to cancellations, liaising with the Theatre Manager, Ward Manager and POA Lead to safely backfill theatre space
6. To liaise with consultants and their secretaries regarding booking information and to inform consultants of any additional information required
7. To update and amend any changes in bookings as and when required
8. To review equipment requests from the booking form with the theatre team to confirm availability of equipment
9. To develop and manage processes for coordinating bed availability, utilising the SAP bed management system and take a pro-active approach to maximise bed utilisation within the given guidelines and capacity constraints
10. Continuously monitor hospital admissions, discharges and patient movement within the hospital and handle queries relating to admissions and bed availability
11. Alongside Utilisation Manager, lead a weekly theatre planning meeting to ensure theatre lists and bed planning links in with ward capacity
12. Ensure that patient and hospital confidentiality is always maintained
13. Carry out any other duty that reasonably falls within the general nature and level of responsibility of the post
Who we’re looking for;
14. Previous Experience of working in a similar capacity in a private hospital is essential
15. You must be proficient and confident in making independent decisions and effectively engaging with the senior management
16. An accurate approach when working to strict deadlines and a confidence when delivering information to key personnel
17. Excellent communication skills, both written and verbal
18. Proficiency in Microsoft Office, particular Outlook and Outlook Calendars, Word, Excel and SAP
19. Confident, Enthusiastic, self-motivated, able to prioritise and work accurately under pressure with sound numerical and analytical ability and attention to detail
20. Ability to work independently and as part of a team
21. Excellent time management and good organisational skills
Contract: Permanent, Full Time, 37.5hrs per week
Working Hours: Monday – Friday, 09:00 – 17:00
