Job Purpose
An exciting opportunity for a highly organised and motivated Administrator to provide comprehensive administrative and clerical support within the Adults Safeguarding Hub. The role will ensure the smooth running of the Hub through effective office management, accurate record-keeping, and professional communication with internal and external stakeholders. This hybrid role is primarily based at Albert Road Children Centre, Ilford, with flexibility to work remotely and across other office locations as required.
Key Responsibilities
* Provide high-quality administrative support to the team, including managing correspondence, diaries, and records.
* Support the processing of safeguarding referrals received via the Single Point of Access (SPA).
* Prepare and distribute documentation for safeguarding meetings and take accurate minutes.
* Maintain and update case records on internal systems.
* Collate and present data to support service monitoring and reporting.
* Handle telephone and email enquiries from professionals, partner agencies, and members of the public in a professional and sensitive manner.
* Support with general office duties, including filing, scanning, copying, and document management.
* Assist in organising events, workshops, and information packs as required.
Person Specification
Qualifications & Education
* Educated to a good standard (Essential).
* Training or certification in administration, safeguarding, or data management (Desirable).
Experience
* Experience providing administrative support in a busy office environment (Essential).
* Experience of conducting DBS checks (Desirable).
* Experience in data collation and reporting (Essential).
* Knowledge of safeguarding processes and/or the Care Act 2014 (Desirable).
Knowledge, Skills & Abilities
* Excellent organisational and time-management skills.
* Strong attention to detail and accuracy.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
* Ability to take clear and accurate meeting minutes.
* Strong interpersonal and communication skills.
* Ability to manage competing priorities and work under pressure.
* Event planning and coordination skills (Desirable).
Pre-Employment Requirements
* Proof of Right to Work in the UK (e.g., valid passport or photo ID).
* National Insurance Number.
* Enhanced DBS (advantageous if already registered on the Update Service).
