Role Purpose The Commercial Operations Administrator provides vital administrative support to the Commercial Operations Team, ensuring the efficient processing of operational data for contract allocation, invoicing, and engineer payments. A key part of the role involves managing supplier relationships—sourcing and negotiating quotations, placing orders, and ensuring timely delivery of parts and services to support engineering operations. This role is integral to the successful delivery of commercial engineering projects and requires close collaboration with engineers, project managers, and internal teams to maintain a responsive and cost-effective operation. Main Accountabilities / Key Result Areas Time Sheet & Contract Management Daily completion of Time Sheet Summary (TSS) Generate pay sheets for engineer payments Manage contract allocation for invoicing and project tracking Invoicing Generate accurate, complete, and timely invoices Resolve invoice queries and issue credits where necessary Monitor and validate invoice data Liaise with internal teams and clients to resolve discrepancies Maintain invoicing records and databases Supplier & Quotation Management Source and obtain quotations for parts, equipment, and services Negotiate pricing, terms, and delivery schedules with suppliers Follow up on outstanding quotations to ensure timely responses Place orders and confirm delivery timelines Resolve supplier-related issues and maintain strong working relationships Maintain accurate records of supplier communications and quotation history Support procurement and cost control processes General Administration Record job parts and materials for invoicing and project costing Produce KPI and SLA reports for internal and client review Generate operational and financial reports Undertake other ad hoc administrative tasks as required Key Skills and Behaviours Strong MS Excel skills and proficiency in Microsoft Office (Excel, Word, Outlook, SharePoint) Excellent written and verbal communication skills High attention to detail with the ability to analyse and interpret large volumes of data Strong problem-solving and numerical skills Effective organisational and administrative capabilities Ability to manage a high-volume workload accurately and efficiently Familiarity with invoice and procurement processes Confident negotiation skills with suppliers to secure best value and service Knowledge, Training and Experience Educated to GCSE level or equivalent Minimum 2 years’ experience in a similar administrative role Experience in commercial engineering or utilities is advantageous Previous experience dealing with suppliers, quotations, and negotiations is desirable Switch2 Energy is an equal opportunities employer.
