Business Administrator Level 3 Apprentice

The purpose of the role is to provide support to the care team, helping the team’s activities and achievement of its business objectives.
Wage: £14,560 for the first year, then could increase depending on age.
Hours: Monday – Friday, 9.00 am – 5.00 pm with 1 hour unpaid lunch (35 hours a week).
Duration: 2 years.
What you’ll do at work
* Dictation when required
* Answering phones and dealing with general enquiries – including client calls with basic information, setting up appointments, etc.
* Handling new enquiries and taking initial details (doing conflicts, booking in, making enquiries with the local authority as to what the matter is)
* Entering key dates onto the system – into diaries and onto DPS – eventually moving to chasing these to see if evidence/documents are received.
* Allocating counsel fees on CCMS, dealing with the fee notes and related emails.
* Dealing with payments on account on CCMS, uploading requests and reconciling after payment.
* Dealing with post – incoming and outgoing – for the department.
* Downloading documents from the court portal and uploading them onto DPS.
* Downloading notifications from CCMS and placing them on DPS.
* Opening files and carrying out opening procedures.
* Closing files.

Training
* Skilled in the use of multiple IT packages and systems relevant to the organisation, such as MS Office, to write letters or emails, create proposals, perform financial processes, record and analyse data. Able to choose the most appropriate IT solution to suit the business problem and to update and review databases.
* Produces accurate records and documents including emails, letters, files, payments, reports and proposals. Makes recommendations for improvements, presents solutions to management, drafts correspondence, writes reports and reviews others’ work. Maintains records and files, handles confidential information in compliance with the organisation’s procedures and coaches others in required processes.
* Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and deals with challenges in a mature way, seeking advice from more experienced team members when appropriate.
* Builds and maintains positive relationships within the team and across the organisation. Demonstrates the ability to influence and challenge appropriately, becoming a role model and developing coaching skills.
* Demonstrates good communication skills, whether face‑to‑face, on the telephone, in writing or on digital platforms, using the most appropriate channels and demonstrating agility and confidence.
* Completes tasks to a high standard, continuously improves work, reviews processes autonomously and offers suggestions for improvement, shares administrative best practice and coaches others.
* Takes responsibility for initiating and completing tasks, manages priorities, meets deadlines, sets a positive example, makes improvements with a view to wider implications, manages resources and logistics, organises meetings and takes minutes.
* Uses relevant project management principles and tools to scope, plan, monitor and report. Plans resources to deliver projects and leads projects as required.
