Conveyancing Administrator Reports to: Conveyancing Manager Location: Surrey Office Salary: £25,000 - £30,000 Role Overview The Conveyancing Administrator provides essential administrative support to the conveyancing team, ensuring the smooth and efficient progression of residential and/or commercial property transactions. This role involves managing files and documentation, liaising with clients and third parties, and ensuring compliance with all legal and regulatory requirements. Key Responsibilities of a Conveyancing Administrator File Management Open, maintain, and close conveyancing files in line with firm procedures. Ensure all files are accurate, up to date, and properly documented. Document Preparation Draft, prepare, and process legal documents, contracts, and forms relating to property transactions. Assist conveyancers with documentation throughout the transaction lifecycle. Client Communication Handle incoming calls and emails from clients in a professional and timely manner. Provide regular updates on case progress and respond to routine queries. Third-Party Liaison Communicate with solicitors, estate agents, mortgage lenders, and local authorities. Chase outstanding documentation and information to support transaction progress. Compliance & Risk Management Ensure all transactions comply with property law, anti-money laundering regulations, and internal policies. Assist with client due diligence and compliance checks. Administrative & Systems Support Accurately input and update information on the firm’s case management system. Maintain electronic and paper records in line with data protection requirements. Financial Administration Assist with invoicing, completion statements, and payments. Support the conveyancing team with basic accounts and billing administration. Reporting Prepare progress reports for conveyancers and management when required. Skills & Qualifications Strong organisational and administrative skills. Excellent attention to detail and accuracy. Clear and professional communication skills, both written and verbal. Proficient in Microsoft Office and conveyancing case management systems. Good understanding of conveyancing processes and property law principles. Essential Experience Previous experience in a conveyancing or legal administration role. Knowledge of residential and/or commercial property transactions. Salary will be in the region of £25,000 - £30,000.
