Your new role
1. Provideprehensive administrative support to the executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
2. Prepare and edit correspondence, reports, and presentations on behalf of the executives. Manage and execute executive actions.
3. Act as a liaison between the directors and internal/external stakeholders, including funders, partners, and colleagues.
4. Review manage and prioritise emails, handling inquiries and requests with professionalism and efficiency and escalating for attention business critical tasks.
5. Coordinate and schedule internal and external meetings, ensuring all necessary resources and materials are prepared in advance.
This includes board meeting preparation, meeting arrangements, adherence to internalernance requirements, board documentation and minute taking, circulation of follow up of actions and timely execution and retention of audit trails in relation toernance.
6. Coordinating and managing theernancemittee documentation including minutes, actions and decisions from the organisationernancemittees and driving the annualmittee calendar.
7. Lead and manage the organising and coordinating ofernance meetings including exec meetings, cabinet and SLT meetings.
Responsible for all aspects of the arrangements ensuring events run smoothly and efficiently.
8. Arrangeplex domestic and international travel itineraries, including rail and air travel, amodation, and other related activities. Manage travel expenses, corporate card management of executives and reconcile reimbursement requests.
9. Assist in planning and organizingpany events, conferences, and meetings as needed.
10. Support executives on special projects as needed, demonstrating flexibility and adaptability.
What you'll need to succeed
11. A quick learner with outstanding organizational and time management skills.
12. Previous experience of minute taking.
13. Ability to identify whenmunication styles require tailoring, working formally and informally when required.
14. Excellent verbal and writtenmunications skills demonstrable with the relevant Education, Qualifications or Certification.
