Main Duties of the Job
* Act as the first point of contact for the team, providing a professional and welcoming service.
* Arrange and coordinate meetings, including taking accurate minutes and ensuring timely distribution of actions.
* Liaise confidently with other services and departments up to board level across the Trust.
* Maintain appointment diaries for members of the Board Management Team, ensuring schedules run smoothly.
* Handle sensitive and confidential information with the utmost discretion at all times.
* Take on a team‑lead role, supporting and guiding administrative colleagues to ensure high standards and efficient workflows.
Job Responsibilities
* To provide efficient and comprehensive Personal Assistant Service to the Directorate Manager, Associate Director of Midwifery and other members of the Directorate Management Team.
* To co‑ordinate all enquiries made of the Directorate Manager and Associate Director of Midwifery and take appropriate action or escalating to senior staff to ensure the continuity of effective service provision.
* To provide administrative support to the Directorate Management Team.
Person Specification – Essential
* Qualifications & Education: NVQ level IV in Business Administration or equivalent qualification; GCSE level including GCSE English Language Grade C or above; advanced keyboard skills including a very high standard of word processing skills e.g. OCR/RSA III or equivalent.
* Knowledge & Experience: Previous experience in a PA / secretarial role including diary management; good working knowledge of Office software packages (Word, Excel, PowerPoint, Outlook); experience of medical terminology; experience of minute taking.
* Skills & Abilities: Excellent communication and interpersonal skills – able to communicate across a multi‑disciplinary team; excellent organisational skills and the ability to prioritise tasks; able to work on own initiative; able to manage time effectively.
Person Specification – Desirable
* Experience of staff management.
* Knowledge of Complaints process.
* Knowledge of NHS/Trust policies, procedures and guidelines.
