Job Title: Business Administrator/Operations
Location: 5 Churchill Place, London
Contract Duration: 12–15 months (with potential for extension)
Position Overview
Fenics Market Data / kACE is seeking a detail-oriented and proactive Business Administrator/Operations professional to join our team on a temporary basis. The primary focus of this role will be supporting revenue reconciliation and operational processes. The position offers an excellent opportunity to work within a fast-paced environment, collaborating closely with internal stakeholders to ensure accuracy and efficiency in financial and administrative functions.
Key Responsibilities
Contract lifecycle
* Process all new signed contracts for both businesses.
* Produce a summary checklist for management.
* Existing deal maintenance incl. superseding, terminating, amending, rolling active contracts.
* Contract and invoice queries
Revenue Reconciliation
* Perform daily, weekly, and monthly revenue reconciliation tasks in coordination with finance and accounting teams.
* Identify and resolve discrepancies by liaising with relevant departments.
* Maintain comprehensive documentation of all reconciliation activities.
Data Management and Reporting
* Utilize Excel extensively to gather, analyze, and present data.
* Administering channel partner revenue reports and updating records.
* Generate regular operational and financial reports to support decision-making.
* Use Power BI (if available) to create and update interactive dashboards for trend analysis and performance tracking.
Operational Support
* Assist with general administrative tasks, including maintaining accurate records, managing documentation, and ensuring compliance with company policies.
* Coordinate cross-functional initiatives to improve workflow efficiency.
* Provide support to the operations manager and other team members as needed.
* General collaboration within internal departments for marketing and events.
Communication and Coordination
* Act as a point of contact between different departments (finance, sales, operations) to resolve operational and administrative issues.
* Draft and circulate clear, concise communications to stakeholders regarding project updates, deadlines, and key deliverables.
* Participate in meetings, provide status updates, and follow through on action items.
Process Improvement
* Identify and recommend process improvements to streamline administrative and revenue-related activities.
* Assist in the implementation of new tools or systems that enhance operational efficiency.
Required Skills & Qualifications
* Educational Background: Degree in Business Administration, Finance, or a related field (or equivalent relevant experience).
* Excel Proficiency: Advanced Excel skills (PivotTables, VLOOKUP, formulas, data analysis) are essential.
* Power BI Skills (Preferred): Familiarity with Power BI or similar BI tools is a plus.
* Attention to Detail: Proven track record of managing large data sets with high accuracy.
* Communication: Strong written and verbal communication skills, with the ability to present complex information succinctly.
* Organizational Skills: Excellent organizational and time-management abilities to handle multiple tasks and meet deadlines.
* Team Player: Ability to collaborate effectively with cross-functional teams and build positive working relationships.
