Job Description
A strong Administrator is central to the efficient and effective running of a well-organised Care Home. By providing the management and care teams with administrative support they need, our Administrators allow our care teams to focus on the provision of high quality, person-centred care to the Home’s residents.
We are now looking for dedicated individuals with at least 1 years’ Administrator experience who can demonstrate strong organisational and administration skills alongside a passion for providing caring support to the Residents and Service Users of the Home.
About The Role
· As the first point of contact for residents and visitors, to offer friendly, welcoming and professional support.
· To ensure the high-quality maintenance & organisation of all files within the office (including the correct usage of Microsoft Office)
· To deal with all queries efficiently.
· To develop and maintain good filing systems.
· To deal with mail, scanning, stationery, photocopying and any other office tasks.
· To update & manage various databases
· To make sure that regular returns, contracts and other documents are completed on time.
· To schedule and coordinate meetings, making sure they run smoothly and to take minutes where required.
· To provide PA and other administrative support to the Management team.
Resident related duties
· To process pre-admission, admission and discharge documents etc.
· Maintain and record resident personal finances
· To process and follow up on any resident/family related enquiries
· To show families and prospective residents around the home
· To maintain waiting list and enquiry databases
· To ensure the Residents Logs and all associated documentation are maintained, are up-to-date and “inspection ready” at all times
· To book various resident appointments (Hair, Podiatry, physiotherapy, dental etc)
· To liaise with relatives and to pro-actively provide the necessary support and advice to families considering the placement of loved ones in the Home
Other duties
· Co-ordinate recruitment and selection process.
· Perform all pre-employment checks and other onboarding steps for new applicants·
· Maintain and update all HR and Personnel records and information
· To assist in the facilitation of a positive cultural ethos at all levels.
· To perform related duties and specific projects as assigned by management to contribute to overall aims of the Home.
· To ensure the efficient and effective use of Home resources.
· To have knowledge of all services provided by the Home
· To maintain confidentiality at all times.

Desired Criteria
* •A problem solver with strong organisational and time management skills
* •Ability to multitask, work under pressure and use own initiative
* •A high standard of personal presentation
* •Strong IT background and knowledge of various software packages (In particular, Office 365)
Required Criteria
* •Excellent command of spoken and written English and a valid work permit
* •Proven 1-2 years’ experience of the provision of quality administrative support
* •GCSE English & Maths
* •Experience and competency in use of Microsoft Office applications
* •Ability to obtain Access NI Clearance
