Resourcing Partner at Petroineos Trading Limited
Based at Petroineos' Grangemouth site, the successful candidate will have a key focus on Petroineos’ inland wholesale business. The role will ensure that all products despatched and financial transactions are controlled and recorded both accurately and in a timely manner.
Being one of the most high-profile businesses in Scotland, Petroineos is the key supplier of hydrocarbon fuels, with customers ranging from oil majors to smaller owner-managed distributors. The business has consolidated revenues of circa $4 billion per year, requiring a candidate who can deal with high volumes of invoice processing and strong levels of accuracy and attention to detail.
Responsibilities
Reconcile Volumes Sold and Prepare Customer Invoices
* Import Fuelfacs data to excel and ensure lifting reports are generated and reconciled. Create invoices and E-mail to customers. Ensure invoice data agrees to summary pricing data and the customer’s contracted terms and prices. Ensure a high standard of accuracy that ultimately means few errors, related adjustments and credit notes.
Data Maintenance
* Ensure Datagenics prices, Platts quotes and exchange rates are updated daily for invoice
processing. Update additives spreadsheets using the same information. For the Grangemouth Road Station, complete additive stock reports, the monthly meter proving report and E-mail customers their monthly own consumptions (COCs). Reconcile vapour recovery. For UK fuels business, complete the loss/gain report and record write offs. Ensure SAP has zero stock. Compile monthly Registered Dealers in Controlled Oils (RDCO) for HMRC online. Complete quarterly checks on RDCO postcodes.
Customer Pricing Updates
* Check new pricing when a customer’s contract changes, including, but not limited to, pricing lag terms, modified bio-pricing, margin adjustments and agreed rack fees. Ensure downstream invoicing agrees to the new pricing.
Confidential Data
* Keep confidential highly sensitive business-related data to prevent wider circulation. Ensure information is protected in line with good professional practice and relevant data protection legislation (e.g. GDPR).
* Provide cover for Customer Support Coordinator role, in particular;
* Conducting the First Line Customer Support activities including in-coming customer queries, ensuring transactions are correctly captured, confirming pricing with customers and confirming/managing customer requirements and allocations, and;
Conducting Credit Control and Cash Collection activities including liaising with London credit team, monitoring offtake and credit limits, proactively communicating with customers near their limits and operating the cash collection processes.
Qualifications
* HND/HNC in Finance/Business Studies or equivalent.

* Ability to appreciate the contractual differences between customer pricing.
* Proven experience of working in a back office role within a multinational organization.
* ERP/systems experience and competent with Microsoft Office applications, particularly Excel.

The successful candidate must have the necessary permission to work in the UK by the start of their employment.
