Role Overview
We are seeking a highly organised and proactive Administration Assistant with a strong focus on stock management to support the smooth day-to-day running of our clinic. This role is ideal for someone detail-oriented, efficient, and confident managing inventory systems while also providing general administrative support. You will play a key role in ensuring clinical and office supplies are accurately monitored, ordered, and maintained to the highest standard.
You will take direction from the Administration Manager and will be involved in supporting the following key process:
Stock Management
* Monitor and maintain accurate stock levels of clinical supplies, skincare products, medications, and office materials
* Conduct regular stock checks and audits to ensure accuracy and minimise discrepancies
* Place orders with approved suppliers in line with usage forecasts and budget guidelines
* Track deliveries and resolve any discrepancies with suppliers promptly
* Maintain organised storage areas in line with clinic compliance and hygiene standards
* Monitor expiry dates and ensure timely rotation of stock
* Produce regular stock reports for management review
Administrative Duties
* Provide general administrative support to the wider team
* Manage incoming deliveries and documentation
* Maintain accurate records and update internal systems
* Support finance processes such as invoice matching and purchase order tracking
* Assist with scheduling, filing, and general office coordination when required
Key Skills & Experience
* Previous experience in an administrative or stock control role
* Strong organisational skills and exceptional attention to detail
* Confident using inventory management systems and Microsoft Excel
* Ability to prioritise tasks and manage workload effectively
* Strong communication skills and professional manner
* Experience within a healthcare, clinic, or retail environment is desirable but not essential
Desirable:
* Working knowledge of Clinic Office or a similar PAS / Appointment software package.
