Job Overview:
We are seeking a highly organised and proactive Office Coordinator to join our friendly and professional team for the 2026 season. In this role, you will be responsible for translating customer bookings into comprehensive logistical plans, acting as the vital link between client requirements and our onsite teams.
You will lead internal planning, drive service improvements, and ensure seamless communication across all departments to guarantee successful service delivery.
Key Responsibilities:
1. Operational & Logistical Coordination
* Oversee the creation and timely distribution of detailed "Course Packs" for instructional, catering, and hospitality teams.
* Ensure all booking details, trip aims, and specific customer requirements are accurately captured and relayed to the delivery teams.
* Act as the primary bridge between the Bookings team and the Programming/Operations team to convert reservations into actionable plans.
* Organise and lead the Weekly Operational Meeting to brief department heads on upcoming arrivals and critical updates.
2. Customer Service & Standards Development
* Lead customer outreach (calls and pre-trip surveys) to clarify group aims and ensure the delivery teams are fully prepared.
* Collect and record customer feedback, translating qualitative data into actionable insights for service improvement.
* Track onsite operational complaints, ensuring professional follow-up and escalating complex issues to management where necessary.
* Monitor service trends (feedback scores, service gaps) to propose and implement measurable action plans for continuous improvement.
3. General Support & Administration
* Provide direct support to the reception desk during peak times, breaks, or staff absences.
* Ensure the professional conversion of new enquiries through diligent follow-up and administrative support.
* Attend and organise internal and external events, providing essential administrative and logistical support.
* Maintain and update key operational databases and client records to ensure data is accessible and accurate.
Requirements
* Proven office experience with exceptional organisation skills and attention to detail.
* Strong phone etiquette and the ability to communicate clearly and professionally at all levels.
* Skilled in Microsoft Office (Word, Excel, PowerPoint).
* Ability to multitask in a fast-paced environment and learn new software or procedures quickly.
* Capable of working in a large team and being a strong communicator.
