Business Support Assistant Location: County Hall, Usk, NP151GA Start Date: ASAP Contract Duration: 5 Month Working Hours: Mon – Fri, 09:00 – 17:00, 37 Hours per week Pay Rate: £13.69 per hour Job Ref: OR17441 Job Responsibilities Manage incoming and outgoing correspondence efficiently, including letters, emails, and verbal communications. Organize and store information correctly, ensuring proper file management. Handle Data Protection Subject Access requests and requests from the Police. Perform administrative tasks such as photocopying, scanning, printing, and booking rooms and transport. Validate and update databases during system transitions. Schedule meetings, manage diaries, and send invites and minutes. Maintain supplies and stock control, such as stationery. Conduct digital file audits to ensure proper documentation. Set up new starter laptops and link phones according to guidelines. Record and log equipment and resources as needed. Handle petty cash and record transactions following procedures. First point of contact for incoming calls, handle safeguarding referrals, and record contacts accurately. Build trust through open communication and validate information using appropriate methods. Troubleshoot issues and support colleagues in gathering customer feedback. Create and maintain children's records, ensuring compliance with guidelines. Support and train colleagues on systems and processes. Assist with recruitment, including arranging interviews. Support staff development and assist with training. Person Specifications Must Have: Recent and strong admin and IT skills. Excellent attention to detail. First-class phone manner and customer service skills. Team player with a supportive attitude. Can-do attitude and resilience. Flexibility to adapt to changing situations. Access to a car and live within a 30-minute drive of the office. Nice to Have: Experience with systems administration. Knowledge of recruitment processes.
