Speciality Coordinator – Oncology
An experienced Speciality Coordinator is required to provide comprehensive and efficient administrative support for clinicians and nursing teams, prioritise work, and manage the patient pathway within NHS timescales.
Job Responsibilities
* Communicate effectively with general practitioners, NHS clients, patients, carers, and multidisciplinary team members to ensure the patient pathway is tracked and managed in line with NHS timescale targets.
* Coordinate service for clinicians and nursing teams, prioritising work according to service demands.
* Handle incoming telephone calls, correspondence, and queries, making decisions on routing and addressing complex inquiries.
* Attend relevant meetings, take minutes, and communicate changes to hospital policy or staff lists to other departments.
* Maintain patient confidentiality in line with the Data Protection Act/Caldicott and Trust policies.
* Provide clear appointment‑related information to patients and reassure anxious patients recalled for further investigation.
* Manage messages left on the out‑of‑hours answer service and any other delegated tasks.
* Provide cover for other secretarial and administrative staff during absences.
* Use IT software (Microsoft Outlook, Word, PowerPoint, Excel) and Trust systems to maintain accurate information on Patient Administration Systems.
* Assist with the transcription of dictation, audio typing of correspondence, and general clerical tasks such as email, photocopying, and filing.
* Keep the department and Trust information systems up to date and upload documents to Mediviewer/Somerset.
* Comply explicitly with Trust procedures, including Complaints and appeals.
* Mentor and induct new staff as required and undertake mandatory training updates.
* Participate in the Trust appraisal process and commit to ongoing professional development.
Qualifications
* GCSE’s C or above in English and Maths and/or equivalent knowledge and experience.
* Flexibility and adaptability to changing situations.
* Problem‑solving skills and ability to adapt to changing circumstances.
* Knowledge of medical terminology.
* Excellent verbal and written communication skills.
* Medical secretarial experience.
* Previous NHS work experience in an acute or primary care setting.
* Experience working with IT systems.
