Admin Assistant

Are you a highly organised Administrator looking to join a supportive and compassionate team? We are seeking an Administrative Assistant to support the three District Nursing teams across East Dorset. You will work closely with multi‑disciplinary colleagues, providing essential administrative support focused primarily on patient‑related administrative tasks and helping ensure the smooth day‑to‑day running of the service.

As our Administrative Assistant, you will need to be confident using Microsoft Office applications including Excel, Outlook, PowerPoint and Word. Experience in minute‑taking and transcribing, strong typing skills, excellent attention to detail, and the ability to work effectively under pressure are essential for this role.

You will also need to be comfortable and professional on the telephone, communicating with a range of healthcare professionals, patients, relatives and carers—sometimes managing sensitive or challenging conversations.

This is a 22.5 hour per week part‑time position, working Wednesdays, Thursdays and Fridays from 08:30 to 17:30.

Main duties of the job

* Provide effective and efficient secretarial and administrative support, including dealing with telephone enquiries, relatives, carers, GPs and other agencies, maintaining good communication between the Trust, GP practices and outside representatives while demonstrating discretion and confidentiality.
* Attend meetings as required, take and transcribe formal minutes, access team diaries, and plan and organise activities and events including meetings and multi‑disciplinary meetings with internal and external organisations.
* Ensure letters, memorandums and reports are of high quality, complete in terms of presentation and accuracy, and adhere to Trust policy and guidelines.
* Ensure that patient appointments are made effectively and in a timely manner using Systm1.
* Maintain accurate information on patient record systems, databases and spreadsheets.
* Accept referrals from a range of sources, screen for appropriateness, gather information and register on the patient record.
* Employment in this post requires Disclosure and Barring Service (DBS) check; the Trust will cover the cost. Applicants who subscribe to the DBS update service may present a valid DBS certificate instead of a new check.

* General education to GCSE standard or equivalent (English and maths)
