We are looking for a clerical officer to work within our pharmacy homecare team, predominantly at the Royal Blackburn site.
We provide a full training package, so experience isn't essential. Training will enable you to become an integral and confident member of the homecare team. We are looking for a clerical officer who has effective communication skills, is highly motivated, a team player and eager to work in a desk based setting with patient contact.
Main duties of the job
The successful candidate will be able to carry out a range of homecare operational duties. We are looking for someone who will be able to perform technical elements of our homecare service, including reconciliation of supplier statements to identify outstanding invoices, timely processing of invoices and maintaining a system for ensuring that queries on invoices are identified and cascaded to relevant team members where needed, as quickly as possible to ensure timely and accurate payment. This may involve contacting suppliers to resolve discrepancies. The successful candidate will have IT experience and be able to work to structured time scales.
Th is is a desk-based role and could be a fantastic opportunity for a someone looking for a change in direction or wanting to move into an office based environment. Our Homecare team have patient contact mainly via telephone and are heavily involved in prescription management.
To provide support the hours requirements of this role are:
Monday to Friday 8:30/09:00 to 17:00 /17:30

Detailed job description and main responsibilities

* Prioritise and organise the homecare administrative workload within pharmacy under the supervision of the lead business admin coordinator.
* Communicate confidently and effectively with patients over the phone, aiming to resolve queries or escalate within the team when appropriate.
* Collaborate with the clinicians and clinical nurse specialists to ensure prescriptions are requested and received in a timely manner.
* Assist in the processing of orders and invoices for patient’s homecare medication when required.
* Challenge and record any homecare invoice discrepancies and escalate where appropriate.
* Organise service review meetings and be responsible for minute taking and distribution after the meetings. Participate in relevant areas of the meeting including but not limited to invoice queries and prescription request queries.
* Be involved in the training, supervising, and supporting of rotational members of staff and supporting other staff with respect to homecare medicines management.
* Contribute to the management of the homecare email inbox and act on email requests from homecare providers regarding prescription renewals in a timely manner.
* Maintain the homecare pharmacy trackers and additional spreadsheets, ensuring all data is up to date and accurate.
Person specification
Qualifications
* GCSEs Maths and English or equivalent
* NVQ Level 2, RSA Level 2 or equivalent, OCR 3, ECDL or equivalent
Experience
* Experience in working to deadlines
* Experience in prioritising demands on service and planning workload accordingly
* Understanding of homecare services
* Working knowledge of invoice processing
* Understanding of prescription legalities
* Ability to participate in team meetings and take accurate notes
Knowledge and skills
* Good verbal and written communication with experience of customer or patient support
* IT and keyboard skills
* Ability to work accurately to meet financial instructions
* Ability to provide instructions clearly and accurately
