We are seeking an experienced Finance Project Coordinator to join our dynamic architecture practice on a 12-month maternity cover contract. This role is pivotal in supporting the Business Supporting Associate, Head of Finance and Managing Partners across our Bath, London and Manchester studios.
You will play a key role in setting up and managing project fees, resource allocation, and sub-contractor schedules using Timemaster and Microsoft Excel. You’ll lead monthly resource and Work in Progress (WIP) meetings, monitor project progress, and oversee the preparation of sales invoices and timesheet reporting. In-person meetings and collaborative teamwork are key to the success of this role. However, an element of hybrid working can be considered.
Key Responsibilities
• Set up and maintain project and sub-consultant fee schedules and resource allocation in Timemaster.
• Lead monthly resourcing meetings with Project Partners to assess and adjust resource allocations.
• Monitor project progress and generate resource and financial reports.
• Prepare sales invoicing information and ensure monthly timesheets are completed.
• Analyse timesheet data and assist in preparing project and resource reports for senior management.
• Support monthly finance processes and assist with ad hoc project queries and support functions within the finance team.
Essential Skills and Experience
• Able to demonstrate the ability to undertake the above responsibilities
• Legally able to work in the UK
• Highly numerate with a keen eye for detail
• Excellent organisational skills and ability to prioritise workload to suit deadlines
• Ability to work within a team
• Ability to take initiative in response to direction or instruction
• Self-motivated and able to take responsibility, with a view to developing the role in the future
• To demonstrate initiative and a proactive approach to daily tasks
• Ability to work well under pressure while remaining calm and professional at all times and meet deadlines efficiently
• Able to manage sensitive and sometimes confidential information
• Good interpersonal skills and the ability to liaise with senior employees and Partners
• Able to build good relationships at all levels
• Resilient to cope with conflicting demands, able to prioritise duties
Desirable Skills and Experience
• To have some knowledge of the design processes that occur within the construction industry, including RIBA work stages.
• Previous experience in dealing with time based activities and resources as a basis for raising sales invoices.
• Experience in the collection and analysis of data to demonstrate progress against targets and identifying resultant actions.
• Ability to use the following software to a high level:
• Any other time and resource software experience advantageous
Working Hours: 9.00 – 17.30 (22.5 hours per week)
Location: Bath
Work pattern: Hybrid working opportunity once settled into the role
Travel: Occasional travel to another office and to site will be required
