Please note that this vacancy may be withdrawn at any time should it be filled via the internal redeployment process Job Overview An exciting opportunity has arisen for a highly organised and motivated Business Support Manager to join the Surgery Division within Aneurin Bevan University Health Board. Reporting to the Service Transformation Manager, this post will play a key role in supporting the Divisional Management Team to deliver both operational and transformation priorities across a range of surgical and outpatient specialties. The post holder will provide comprehensive business, project and administrative support to ensure the effective coordination, monitoring and delivery of divisional objectives. They will support performance reporting, governance arrangements, business case development and service improvement projects, working collaboratively with clinical and managerial colleagues across the Division. This is an excellent opportunity for someone who enjoys variety, problem-solving and teamwork, and who is keen to develop experience in operational management and service transformation in a dynamic healthcare environment. Main duties of the job Provide high-quality business and project support to the Divisional Management Team. Coordinate Divisional governance meetings, including preparing agendas, papers and action logs. Produce reports, performance dashboards and presentations to support divisional decision-making. Support the development of business cases, service improvement initiatives and workforce or financial plans. Manage and maintain Divisional documentation, including Standard Operating Procedures and Terms of Reference. Work closely with Operational Managers, Clinicians and Corporate Colleagues to drive forward transformation and efficiency improvements. Support procurement and budget management processes, ensuring compliance with Health Board policies. The post holder will need to demonstrate flexibility, excellent communication skills and the ability to manage competing priorities while maintaining attention to detail. This post is fixed term / secondment for 12 months from start date to meet the needs of the service. Education And Qualifications Essential criteria Educated to degree or equivalent or significant direct experience Working knowledge of Microsoft Office applications, particularly MS Word, Excel, Outlook, PowerPoint Desirable criteria Project Management experience / qualification Experience Essential criteria Extensive secretarial / administrative experience Experience of establishing and maintaining complex office systems Working experience of dealing with Board members and/or senior managers understanding the necessity to act in a pleasant and courteous manner whilst working effectively with others Desirable criteria Implementing change and change management, Performance management and Human resources Skills Essential criteria Excellent communication skills and ability to communicate well with staff at all levels; confidence to communicate effectively at levels involving director and senior executive levels Excellent organisational skills Confident in providing, receiving and dealing with complex, sensitive or confidential information Ability to negotiate with a diverse range of people across the whole Health Board and externally considering and overcoming barriers to communication to improve consistency in the understanding of complex information. Ability to work on own initiative, autonomously and as part of a team at a variety of different levels and to prioritise work load to achieve deadlines Minute taking and good people management skills Excellent verbal and written skills Desirable criteria Ability to speak welsh
