Executive Assistant, Fixed Term Contract

Looking for more than a traditional EA role? This position offers a rare opportunity to work at the heart of Costa’s Strategy & Transformation and Finance functions, supporting senior leaders while gaining deep insight into business planning, priorities, and decision‑making. You’ll build strong relationships across the EA community, handle highly confidential information, and play a key role in keeping the rhythm of the business running smoothly.

What you’ll do

Being an Executive Assistant is about so much more than bringing our coffee to the world. It’s your chance to stir up real success - which means you’ll be:

* Providing proactive executive support through effective diary and inbox management, prioritising business‑critical activities and ensuring senior stakeholders’ time is used efficiently.
* Coordinating travel, meetings and team events by organising seamless logistics, preparing agendas and pre‑reads, and collaborating with stakeholders to ensure smooth delivery of all activities.
* Delivering efficient administrative support including expenses, reporting and ad hoc tasks, ensuring all operational aspects run smoothly and enabling leaders to focus on strategic priorities.
* Producing high‑quality presentations and materials by designing and delivering impactful PowerPoint decks, templates and documents that clearly communicate key Strategy & Transformation and Finance priorities.
* Managing and optimising knowledge and documentation by maintaining an organised central repository, ensuring key materials are easy to access and reducing duplication across the team.


Who you are

It’s your unique ingredients we’re interested in:

* Proven experience as an Executive Assistant or Senior PA supporting senior leaders within a global, complex organisation, with a strong track record of operating effectively in a fast‑paced environment.
* Advanced Microsoft Office expertise, with the ability to create high‑quality, visually impactful presentations and translate complex information and data into clear, engaging outputs.
* Highly organised with excellent prioritisation skills, able to manage multiple demands including complex diaries, international travel, and large‑scale meetings or events.
* Strong business awareness and curiosity, with the ability to understand end‑to‑end priorities and interpret strategic or financial content into compelling materials for senior stakeholders.
* Exceptional attention to detail and communication skills, building trusted relationships across teams and handling sensitive, confidential information with professionalism.

Location - Where you’ll work:

Right now, our Support Centre teams work flexibly, blending home working with in‑person time whenever it matters most – whether that’s a team moment, a creative session, or simply coming together to share ideas.

We’re excited to be moving into anew home for our brand in St Albans in January 2027 – an inspiring space from which our Support Centre teams will work three days a week to connect and collaborate in‑person to bring our bold ambition to life.
