Team Assistant
You will be required to provide highquality secretarial and administrative support to a group of Trustees within the Financial Services sector.
1. Hybrid working: 2 days officebased, 3 days from home
2. Location: Wimbledon
3. Increased office attendance required during probation
4. Fulltime hours: Monday to Friday, 9am-5pm
5. Salary: Up to £30,k
Main Duties & Responsibilities
6. Log and monitor annual scheme budgets
7. Process and log invoices
8. Update master spreadsheets, registers, compliance checklists and governance systems
9. Manage Trustee diaries
10. Schedule meetings and organise arrangements
11. Coordinate travel and expenses
12. Handle incoming and outgoing post; ensure appropriate followup
13. Answer incoming calls, providing support when Trustees are unavailable
14. Maintain a professional and responsible approach to all clientrelated communications
15. Supporting meeting preparations: drafting agendas, collating papers, issuing meeting packs, confirming venue arrangements
16. Preparing minute templates
17. Updating action logs and issuing followups to providers
18. Completing quarterly tasks ahead of Trustee meetings
19. Creating meetings and managing document uploads to online portals
20. Liaising with providers to confirm meeting dates, track actions, and ensure timely submission of papers
21. Monitoring regular correspondence from scheme providers and industry bodies
Knowledge & Experience
22. Previous PA, secretarial or administrative experience
23. Background in pensions administration or an understanding of trusteeship is advantageous but not essential
