Hours of Work: 9.00am - 5.00pm Mon - Fri
Purpose of the role: Are you passionate about creating a welcoming and well-organised workplace? We're looking for a People & Office Administrator to join our HQ team and play a vital role in ensuring our office runs smoothly while supporting our People & Culture (HR) function. Our HQ is the hub for all of our people, hosting meetings, inductions and training. As the first point of contact for visitors and staff, you'll combine front-of-house reception duties with essential HR administration, helping to create a positive employee experience through accurate record-keeping, onboarding support, and day-to-day HR tasks. This is a hands-on role that will suit someone who is approachable, detail-oriented, and confident working independently.
Key Responsibilities
* Welcome visitors, clients and staff with professionalism and warmth.
* Answer, screen and forward incoming calls.
* Manage front office operations, ensuring it is tidy and presentable.
* Receive, sort and distribute daily post and deliveries.
* Schedule and confirm appointments and meetings.
* Maintain office supplies including ensuring correct stationery and sufficient supplies.
* Oversee meeting room bookings.
* Support the People & Culture and administrative teams by:
* Maintaining accurate employee records and assist with HR system updates.
* Assisting with absence tracking, holiday records, and routine HR reporting.
* Coordinating the administration of our benefits platform.
* Assist in coordinating travel arrangements, courier services and facility needs.
* Provide general information to visitors and handle enquiries.
* Respond to employee queries and provide friendly, helpful support.
* Get involved in People & Culture projects and help bring them to life, with the opportunity to make a lasting impact on services supporting individuals with complex needs.
* Ongoing training, professional development, and clinical support.

Qualifications & Skills
* Proven experience in a reception, office administration, or HR support role.
* Exceptional communication skills, both written and verbal.
* Strong organisational abilities with the capacity to manage multiple tasks effectively.
* High level of accuracy and attention to detail.
* Professional and discreet in handling confidential information.
* Self-motivated, confident working independently, and proactive in using initiative.
* Proficient in Microsoft Office and comfortable navigating HR systems or databases.
* Desirable: Experience supporting HR functions or working within a People team.
* Desirable: CIPD Level 3 qualification (or working towards).
* Desirable: Solid understanding of data protection and GDPR principles.
* Desirable: Familiarity with HRIS or employee management systems.
