Portico Port Services provides first-class staff to the cruise, ferry, cargo and ports industries and is part of the Portico family of companies. Backed by years of experience in the ports industries, we're the go-to-expert for every operational need, from freight marshalling to mooring and everything in between. We have an exciting opportunity for the right candidate to join our expanding team as a Port Services Coordinator. The role will provide support to the operations team at the port facility.
Key responsibilities:
* Prepare and process all operational paperwork in line with company policies and procedures.
* Manage administrative tasks including validation of staff hours, processing of vessel-related invoicing and KPI tracking.
* Allocate staffing for each vessel operation based on submitted labour requests, ensuring appropriately skilled personnel (e.g., skilled operators, baggage handlers, quay assistants, marshals) are assigned.
* Facilitate the onboarding and induction process for new casual workers, ensuring compliance with company policies and smooth integration into the business.
* Perform additional administrative duties as required to support the Portico Port Services and wider Portico Group team.
* Coordinate meeting room and site visitor bookings, ensuring smooth scheduling and adherence to security protocols.
* Provide general administrative support including minute taking and diary management.
* Assist with travel arrangements and event planning, ensuring efficient logistics and adherence to budget and policy.

Qualifications/experience:
* Proven previous experience in an administrative role, preferably in a port or logistics environment.
* Level 3 Business Administration or equivalent (desired)
* Proficiency in Microsoft Office Suite.
* Understanding of basic HR processes
