Job Summary

DIO manages the Defence estate, one of the UK’s largest and most diverse property portfolios, enabling the armed forces and Defence civilians to live, work, train and deploy. This position is advertised at 37 hours per week.

Job Description

Regional Delivery is a large, complex, and geographically dispersed operation within the DIO covering circa 58,000 assets, across over 500 sites and 275,000 Ha of freehold and leasehold estate in the UK and a further 580,000 Ha overseas; with a multitude of £multi-million contracts to manage. We deliver soft and hard facilities management services including building, maintaining, and servicing the majority of MODs built assets in the UK and overseas and managing the MODs training estate tenanted estate and USVF Built estate.

This opportunity as an Admin Hub Administrative Support for Regional Delivery Central at DMS Whittington is both exciting and challenging. You'll join a friendly and supportive team, working in a fast-paced, reactive, and varied role. Excellent IT and organisational skills are essential, along with the flexibility to handle a variety of tasks as the situation requires.

As a customer-facing position, this role requires strong communication skills to interact effectively with a diverse group of customers. You'll engage with a wide range of stakeholders and build relationships with colleagues across the broader DIO team, ensuring smooth operations and high-quality service in this dynamic environment.

The role will be office based with the possibility of occasional hybrid working when cover allows.

Person specification

We Are Seeking Someone With

Strong customer service Skills

Excellent communication Skills

Awareness of Building Custodianship

Proficient in IT systems particularly MS Office and SharePoint.

A valid UK driving licence is desirable.

These qualifications are desirable: (Training can be provided to the successful applicant)

First Aid Certificate

Responsibilities Include But Are Not Limited To

Reception duties including monitoring the intercom access system.

Process and Provide access tags using the Access Control System.

Provide administrative support to DIO HQ personnel.

Maintain and monitor a multi-user inbox.

Assist the Building Custodian to ensure the building remains safe and secure for all occupants.

First Aider responsibilities.

Undertake checks for all fire alarms, fire extinguishers and assist in building emergency evacuations.

Deal directly with customer queries either in person or via Microsoft teams/email.

Ordering of stationery.

Ordering Personal Protective Equipment (PPE).

Ensure incoming and outgoing post is collected and distributed daily.

Authorised Demanding Officer (ADO) responsibilities ensuring car hire requests are administered to deadline.

Support with 2nd Line of Defence (2LOD) assurance activities.

Ad hoc duties as and when required.
