The post holder will be required to become fully competent in a range of reception duties to support the day-to-day running of Outpatient Reception areas across Calderdale and Huddersfield NHS Foundation Trust, including any off-site reception areas if applicable.
They will work in accordance with Trust and National standards, policies, and procedures.
The role requires organized and efficient working, with effective communication skills. The post holder will report to the Supervisor/Team Leader and work closely with all members of the Reception Team.
Providing excellent service to both external and internal users is essential, maintaining a patient-focused approach at all times. Flexibility is important, including training and working across all sites to cover reception areas within the Trust as needed.
Responsibilities include:
1. Answering phones professionally and promptly.
2. Developing relationships with colleagues across departments and providing assistance when necessary.
3. Data entry onto the Electronic Patient Record (EPR) system.
4. Assisting in booking urgent appointments and ensuring all relevant information is included.
5. Contacting patients to confirm appointment details.
6. Prioritizing daily workload.
7. Scheduling patients using relevant systems such as KP+ (Knowledge Portal).
8. Receiving and booking patients for clinics upon arrival.
9. Booking patient transport as necessary and notifying the transport department of changes or cancellations.
Additional duties include:
* Handling confidential matters with discretion and sensitivity.
* Assisting in training new staff and mentoring as part of induction.
* Acting as a point of contact in the absence of a supervisor.
* Maintaining a tidy work environment and highlighting health & safety issues.
* Flexibility to train and cover all outpatient reception areas.
* Seeking advice/support from Line Manager when needed.
* Maintaining professional conduct and appearance.
Any other duties within the scope of the grade as directed by the Supervisor/Manager.
