We are looking for an experienced Project Director to lead the delivery of high‑profile pharma exhibitions across the UK and internationally. This role is ideal for someone who understands the complexity, compliance and precision required in pharma environments and who thrives on delivering exceptional exhibition projects from brief through to onsite delivery. Account Ownership •Maintain oversight and monitor all projects within allocated in order to be able to provide general updates to Head of Project Delivery •Mentor, guide & be a point of escalation for any/all Senior/Project Managers working on projects within allocated team/accounts •To understand and oversee any budgets that are produced within any allocated client accounts to ensure consistency in how Rapiergroup is presenting information •Produce, and maintain, a financial tracker in order to ensure invoicing is kept up to date •To ensure quality control and manage risk throughout the team deliverables •To approve all team travel/hotel logistics •Support in onboarding any new members of staff who join the relevant team/account •Own, and ensure the upkeep of, a client specific ‘knowledge grid’ to ensure information is captured for anyone joining the relevant team •Receive briefs from clients and discuss resourcing with Head of Project Delivery •Attend all account specific briefings (inc. kick-offs, pre-site, post-site and client debriefs) to ensure everything is captured and recorded Client Management To oversee all client communications, management and content If necessary, supplement for the Account Director or Head of Project Delivery with senior stakeholder relationships Maintain regular client contact and ensure frequent and accurate reporting to allow a client to make an informed decisions Ensure every Rapiergroup promise is followed through as expected Project Management Ensure the proper project set-up and upkeep at all times Ensure the high quality of any client facing documentation Ensure early Health and Safety planning in terms of design inputs Proactively liaise with all internal teams to achieve the most effective and efficient planning Strive for an efficient, accurate and inclusive of creative briefing and review process Commit to a detailed and well thought through Project plan on every project Drive a fully inclusive Project Kick-off meeting with all essential discipline experts To commit early and cost competitive team logistics To have a full understand of Rapiergroup’s purchasing policy and actively gain guidance from the Head of Production To create, review and sign off any Event Safety Plan with the Head of Production Ensure every team member is pre briefed and clear on their onsite their roles and responsivity To oversee the onsite delivery in line with any pre-event plans To inventory and document any client property which we take charge of Line Management To act as Line Manger to any assigned members of staff Devote quality time to any direct reports through 1-2-1’s Consider where team members need training, mentoring or coaching and highlight to Head of Project Delivery Ensure team personal development needs are discussed, planned and documented with Head of Project Delivery Carry out appraisals in line with company policy Approval of timesheets, credit cards, expenses, annual leave, sickness and lieu etc. Supplier Management To ensure all supplier contracts are in the best client and Rapiergroup interests and to proactively challenge and negotiate with contractors to produce savings. To ensure the Head of Production is consulted on every projects to agree the purchasing strategy Finance Ensure regular and accurate upkeep of your assigned projects Ensure the creation of a full and detailed budget to form the opening SOW for any assigned project Ensure regular and detailed change management process inclusive of client reporting To create a ‘cash positive’ billing schedule To undertake regular project time audits, discuss with the Head of Project Delivery and act accordingly on findings To conduct a full, detailed and accurate reconciliation of every project Closure To ensure a professional closure of any project Proposal & Pitch Support new business bids if requested as a member of the pitch team Participate in proposal planning and creation as appropriate Input and participate in pitch presentation if needed *This list of responsibilities is not exhaustive and will be reviewed as and when required Commercial awareness Open mindedness and fairness Project management skills Budget management skills Negotiation skills Presentation skills Attention to detail Excellent communication skills Communication To communicate clearly with clients, co-workers and contractors Planning & Organisation To always keep deadlines and budgets in mind People Management To work easily with other parts of the business when working on a shared project.
