Role overview Rezzil is seeking a highly capable Office Manager to run the day-to-day operations of our Manchester office and provide reliable operational support across the wider business. This is a pivotal role that keeps the office running smoothly, ensures teams have what they need to do their best work, and helps embed consistent, professional processes as we scale. You will be the operational “centre of gravity” for the office: managing facilities, suppliers, office systems, basic people operations support, and internal coordination. You will partner closely with senior leadership, Finance, People/HR, and IT to ensure Rezzil’s workplace experience, compliance, and operational standards are well executed. Location and working pattern Manchester office-based, full time Occasional flexibility may be required for events, deliveries, contractors, or key business moments Key responsibilities Office operations and facilities Own day-to-day running of the Manchester office: opening/closing routines (where applicable), meeting room readiness, cleanliness standards, supplies, and overall office experience Manage facilities, contractors, and landlord/management company relationships (repairs, maintenance, security access, cleaning, utilities, inspections) Maintain office health & safety processes (e.g., basic risk assessments, fire safety checks, first aid supplies, incident logging), escalating as needed Ensure the office is consistently “client-ready” for visitors, partners, and senior stakeholders Procurement and vendor management Source, onboard, and manage office suppliers (stationery, courier/post, catering, cleaning, waste, coffee, IT peripherals) Handle purchase requests, purchase orders (where relevant), invoice routing and basic reconciliations in collaboration with Finance Track spend against agreed budgets and proactively identify cost efficiencies without reducing quality Front-of-house and workplace experience Manage office reception-style responsibilities: welcoming visitors, booking meeting rooms, coordinating refreshments, managing site access and guest processes Plan and support internal moments that improve culture: team lunches, onboarding welcomes, celebrations, and wellbeing initiatives Support leadership team meetings with practical setup and smooth logistics People operations support (non-HR specialist, but critical support) Coordinate onboarding/offboarding logistics with People/HR and IT (workspace setup, access cards, equipment readiness, welcome packs, leavers’ returns) Maintain core office-related employee records (seat plans, access lists, emergency contacts for site purposes, onsite attendance/visitor logs where required) Support internal policy rollouts operationally (e.g., office protocols, travel/expenses process reminders, equipment sign-out) IT and asset coordination (in partnership with IT) Act as the office-side coordinator for IT logistics: equipment receipt/dispatch, loan kit tracking, peripherals, and basic hardware inventory support Ensure “office critical” tech is maintained (meeting room screens, conferencing equipment, printers) by coordinating fixes and replacements with IT/vendors Help embed practical processes around hardware tracking and office security (e.g., key/access control discipline) Travel and event logistics (as needed) Support travel bookings and itineraries for visiting staff/partners (where this sits operationally) Help coordinate Rezzil presence at industry events, capture days, partner meetings, and occasional team offsites (logistics,suppliers, schedules) Continuous improvement Create and maintain simple, scalable office playbooks and checklists (opening/closing, vendor contacts, meeting room standards, onboarding logistics) Identify operational friction and propose improvements—then implement them with minimal disruption Skills and experience Essential Proven experience as an Office Manager / Workplace Coordinator / Operations Coordinator (or similar) in a fast-paced environment Strong organisational skills: you can run multiple workstreams, keep calm under pressure, and follow through reliably Commercial and practical mindset: comfortable dealing with suppliers, quotes, invoices, and budgets High standards of presentation and professionalism—your default is “make it better” Excellent communication: clear, friendly, and confident with employees, contractors, and senior stakeholders Strong IT literacy (Google Workspace or Microsoft 365;
