A vacancy has arisen within our school for a Receptionist. The role includes the day-to-day running of the Reception area whilst proactively working with other operational teams to ensure an efficient school administration delivery.
We are looking for someone with a minimum of Grade C GCSE, or equivalent, in English and Mathematics, who has business support experience, or has managed a busy reception area, in or outside of the education sector.
You will liaise with multiple stakeholders daily, ensuring their needs are met at first point of contact, and provide a welcoming and professional response to staff, students and visitors.
You will be able to act with autonomy and authority and possess the desire to assist with a variety of tasks. Reliability and pro-activity, as well as the ability to problem-solve and support our school's vision, is essential.
The successful candidate will fully embrace the school's Enjoy, Respect, Achieve ethos, and be a team player who takes pride in their work, whether it be providing a welcoming Reception to our visitors, or communicating with TPS students, parents or colleagues.
Key Tasks:
1. To maintain Reception and be the first line of response for staff, students and visitors.
2. To greet guests and manage InVentry sign-in system, following safeguarding procedures.
3. To answer and redirect telephone calls as appropriate.
4. To sort and distribute incoming and outgoing post.
5. To monitor and reply to Reception email.
6. To take prompt action to alert appropriate staff members to particularly difficult / sensitive problems to enable appropriate and timely action to be taken.
7. To co-ordinate and email the Daily Info Sheet to all staff if required.
8. To co-ordinate and direct the Student Host, and create and send student notes as and when required by staff.
9. To assist staff with colour photocopying, scanning and laminating.
10. To arrange ad-hoc student tours.
11. To issue SchoolComms emails / ClassChart messages to parents.
12. To coordinate Room bookings for staff.
13. To monitor SchoolComms and ClassCharts for parental replies/requests and distribute to appropriate personnel.
14. To organise mini-bus and coach transportation and update booking diary.
15. To engage with and have daily working knowledge of school calendar and plan for any facilitation.
16. To assist in the preparation of and attend school events as necessary, including Year 6 Transition Evening and Open Morning
17. To assist on educational activities and trips as required
18. To assist with marshalling as outlined in the Fire Evacuation Policy.
19. To have a general knowledge of school policies and procedures.
To perform other such tasks as may reasonably be requested by the Line Manager.
