You will act as a compensation and benefits Senior Administrator and have full oversight of the payroll and benefits tasks involved with the employee lifecycle for all European office locations. At all times, provide a reliable, supportive and proactive compensation and benefits service to the business, ensuring other team HR members are aware of their responsibilities regarding tasks to be completed, following up when matters need further attention so that tasks are completed to a high standard. Promote best practice in all matters and maintain high levels of accuracy and confidentiality.
What you’ll be doing
Compensation Administration
* Accurately input and self-check the monthly administration of jurisdictional payrolls and conduct thorough report reviews. The split of jurisdictional payrolls between Senior Administrator and Administrators can be agreed internally between the team, however flexibility for cover and further learning should be expected.
* Act as first level inputter for payroll input/reports and maintain accurate records for all payroll related changes. Support HR Operations teams with queries.
* Take responsibility for your jurisdiction’s payrolls monthly processing timeline. Escalate concerns or delays to Manager, Compensation and Benefits. Coordinate your jurisdictional payrolls monthly payroll deadlines with wider HR team, including at team meetings
* Provide support and act as first contact for day to day general payroll queries raised internally or externally, respond in a professional and timely manner. Escalate complex queries to Management team for additional support, when required. Strive for personal learning and development opportunities, as well as relaying knowledge to the wider team
* Support the Compensation and Benefits team with checking of other jurisdictional payroll processing data.
* Complete monthly quality checks of the payroll reports prior to internal or external circulation. Ensure that data reporting adheres to current data protection requirements. Ensure that data shared is accurate and appropriate for the recipient, following internal checking procedures
* Support on additional compensation related processes such as; salary review, bonus processing and relevant data collection to assist processing.
* Keep up to date with relevant regulations/legislation and relay the impact of any changes, taking action to implement changes where necessary or provide recommendations to Manager, Compensation and Benefits.
* Respond and resolve general benefit queries for your jurisdictional remit from employees in a timely manner. Assist and support Administrators with more complex queries, escalate to management for additional support when required.
* Act as first point of contact with your jurisdictional remit benefit providers and take ownership for escalation of queries. Assist with analysing current benefit offerings against current market and raise suggestions for future changes to Manager, Compensation and Benefits, as appropriate.
* Assist Administrators with regular administration of employee benefit schemes. Take ownership for the accurate data management of benefit and pension portals for your jurisdictional remit, checking data for joiners, changes and leavers, through regular reporting and final checks. Provide accurate and timely benefit administration for split jurisdictional remit, acting as cover for other jurisdictions during periods of team absence
* Ensuring that all data on the HR database is accurate and up to date at all times. Responsibility for regular data checks and accuracy monitoring to compare against payroll, escalating concerns to wider team
* Reconciliation of monthly invoices and submission through invoicing platform for approval in a timely manner for jurisdictional remit
Ad Hoc Administration
* Assist with ad hoc data analysis and reporting requirements
* Assist with payroll or benefit related audit queries and data preparation
* Identify efficiencies in payroll processing and documentation management for monthly payroll processing and record management. Maintain internal compensation and benefits process notes on a regular basis and communicate any jurisdictional changes both at team and employee level, as required
* Assist with data collection and analysis for salary survey participation and recommendations
* Assist the wider HR team with HR related projects, when required.
* Take on ad hoc tasks to support the Compensation and Benefits team during any periods of change.
The ideal background for this role:
* A Levels or equivalent
* A sound academic background
* 3+ years relevant HR or payroll experience
* Experience working in an organisation within the financial services industry
* Experience of developing and coaching others
* Payroll administration experience
* Competent with Microsoft office products (i.e. Excel, Outlook, Word)
Role Location/Hybrid Schedule
This role is based our Southampton office. Although the nature of most of the roles within Gen II cannot be classed as totally flexible, there is scope in some cases for a form of Agile Working. The different ways in which Agile Working can be undertaken is dependent on the demands and needs of the business, the office space available and the individual’s preferences and circumstances.
