The Role
We are looking for an organised, confident, and welcoming Receptionist to ensure the smooth running of our front desk. You will help create a positive first impression for visitors and staff, maintain a seamless reception operation, and ensure security procedures are followed at all times. The role is a day-to-day front-of-house position reporting to the Facilities Manager and working alongside a second receptionist.
What will you be doing?
* Greet all visitors and staff to Condé Nast warmly and efficiently
* Answer the main switchboard telephone line, direct callers to the right person, take concise messages and respond professionally
* Manage the Office Space booking system
* Add new staff to designated areas
* Book desks for non-UK/visiting staff
* Manage meeting room bookings
* Authorise Google Calendar meeting room bookings
* Coordinate with day cleaners and provide room cleaning instructions between meetings (where possible)
* Assist with event bookings and setup (where possible)
* Maintain a clean, tidy and well-maintained reception area
* Keep breakout areas at a high standard
* Deliver magazines to executives
* Conduct stock checks of stationery hubs and consumables (tea/coffee and milk)
* Order stationery, milk and consumables
* Distribute fruit to the cafe area
* Provide cover for the Facilities Manager when on annual leave or out of the office
* Fire Marshal
* Switchboard responsibilities
* Manage access control and create access cards, updating starter/leaver spreadsheets
About You
* Previous Front of House or Receptionist experience
* A friendly, approachable, and professional manner with a genuine passion for delivering excellent service
* Strong communication skills, both written and verbal, with confidence using Google Suite and other office software
* Reliable with attention to detail and the ability to stay calm under pressure while handling multiple priorities
* Fire Marshal and/or First Aid training is an advantage (training can be provided if required)
* Proactive, hands-on attitude, willing to support the wider team with day-to-day tasks and ad hoc duties
* Comfortable with occasional heavy lifting and manual handling as part of front-of-house operations
