Job Description:
In this role, you will supervise the REIOPS’ Accounts Payable function, including the administration of the Construction Industry Scheme and control of the Central Disbursement Bank account, ensuring that the team adheres to strict standards, procedures, and deadlines. You will also be responsible for reviewing and approving Managing Agent Property Annual/Quarterly Service charge general ledger reconciliations. Additionally, you will supervise the administration and accounting related to the insurance of all properties managed by Threadneedle Portfolio Services Limited.
How you'll spend your time
1. Supervise 3 team members, conducting quarterly staff progress reviews, annual appraisals, recruitment, training, and monitoring attendance and holidays. Act in an advisory, supportive, and coaching capacity to motivate and develop the team. Be fully responsible for internal controls.
2. Supervise the Accounts Payable function to ensure work meets standards and deadlines, providing quality service to the Property Front Office. Minimize AP rejections and monitor duplicate invoice reports twice weekly.
3. Ensure queries received via the Group AP email are addressed according to team standards.
4. Manage supplier setups and amendments within the Horizon database.
5. Review and update GDPR-related supplier information monthly.
6. Distribute and review monthly listings of 'Historic Suppliers' with Managing Agents, making adjustments as needed.
7. Oversee Purchase Order review, authorization, and closure.
8. Control administration of the Construction Industry Scheme.
9. Reconcile and control the Central Disbursements Bank account, arranging funding when necessary.
10. Complete monthly reconciliation of GL code XTAXDF and provide reports to the Client Accounting team for NAV valuation.
11. Prepare and present monthly KPIs for the team in management control reports.
12. Distribute daily post received for REIOPS’ to team members.
13. Provide cover for daily CHAPS payments and internal transfers.
14. Ensure timely payments of insurance premiums and recover charges from tenants or managing agents as appropriate.
15. Manage insurance premium invoicing, recoveries, and accounting for new business, renewals, and ad hoc charges.
16. Post void premiums and commissions accurately, and reconcile related GL codes.
17. Handle property insurance claims and losses as per procedures.
18. Oversee annual renewal processes for engineering policies, ensuring accuracy and timeliness.
19. Maintain insurance competencies through ongoing training and support regulatory compliance.
20. Provide management information on insurance administration as needed.
21. Oversee accounting and controls of Managing Agents, signing off on reconciliations and controls.
22. Provide team coverage when required.
