Role Overview The Senior Centre/Office Manager plays a key role in ensuring the smooth, safe, and professional operation of Oakdale’s centres. You will oversee day-to-day administration, facilities, compliance, and support services across multiple sites, ensuring a consistent standard of care and operational excellence. This role also involves line management of Centre Coordinators at Horsforth and Halifax, providing operational guidance, support, and performance management to maintain high standards across all locations. Key Responsibilities Management of Multi-Site Operations Line manage and support Centre Coordinators in Horsforth and Halifax, ensuring consistency and quality of service across sites. Ensure smooth day-to-day operations, including reception, administration, facilities, and support services. Monitor and maintain a safe, welcoming, clean, and functional environment for clients and colleagues. Oversee scheduling, staffing, and operational readiness across all centres. Facilities and Maintenance Management Lead all aspects of facilities management across sites, proactively identifying and resolving maintenance needs. Coordinate cleaning, waste disposal, and upkeep of external areas, including gardens and communal spaces. Act as primary contact for contractors and suppliers, ensuring work is delivered on time, to scope, and to budget. Ensure all equipment, supplies, and resources are maintained and replenished efficiently. Health & Safety Management Take responsibility for health & safety compliance across multiple centres, including routine checks, statutory inspections, and audits. Maintain and update H&S files, risk assessments, and compliance records in line with organisational standards. Manage training and cover for first aiders, fire marshals, and health & safety procedures. Lead investigations into incidents, near misses, or breaches, escalating to the Head of Clinical Governance as required. Operational Administration & Compliance Approve invoices and monitor operational budgets for facilities and supplies. Maintain accurate records, including client data, key logs, and security access. Ensure accurate appointment scheduling, room bookings, and diary management. Support governance, safeguarding, and audit processes across all sites. Finance & Reporting Handle petty cash and client payments in line with policy. Liaise with the accounts team on invoicing and other financial matters. Ensure accurate data entry and reporting on case management systems. Support budget monitoring and operational cost-efficiency initiatives. Collaboration and Stakeholder Engagement Work closely with the Director, Health & Safety team, and other Centre Coordinators to maintain operational consistency across sites. Provide guidance and management to reception and support staff, fostering a culture of accountability and excellence. Represent Oakdale professionally in all dealings with contractors, suppliers, and external partners. Person Specification Essential: Demonstrable experience in operational management, facilities management, or similar senior administrative role. Strong working knowledge of health & safety legislation and operational compliance. Excellent organisational and management skills, with the ability to prioritise effectively. Strong interpersonal skills with the ability to engage confidently with staff, contractors, and external partners. Proactive problem solver with the ability to work independently and take initiative. Desirable: Experience in healthcare, community services, or regulated environments. Understanding of budget monitoring and cost control. Formal training in health & safety (e.g., IOSH Managing Safely) or facilities management. Qualifications & Skills General education to GCSE level or equivalent (Grade C or above). Awareness of safeguarding, confidentiality, and data protection regulations. Strong time management and multitasking abilities. Confident in liaising with external agencies and contractors. Capable of managing financial transactions and approving invoices. Able to deliver staff management, supervisions, and appraisals.
