Job Description
The role entails working as the office operations coordinator on site in TransPerfect Manchester location. Running the day to day upkeep of the office space, supporting the team on other tasks whenever necessary and liaising with remote teams to ensure tasks on location are completed are components of the role. It is a flexible position and by reporting to the manager on a daily basis is key to prioritizing tasks and taking on new projects or responsibilities.
Assisting with administrative duties for the TechOps global software development team will be balanced with on-location tasks. This portion includes coordinating new hire onboarding and equipment tracking, help with event planning/meeting planning and content creation, proofreading and data input.
Responsibilities:
Provide support to TechOps team on software development projects
* Work on a request system to track task management.
* Collaboration with IT, Operation teams.
* Track and complete new hire onboarding in relation to application access for training, first day coordination & IT equipment allocation.
* Complete data entry projects or data analysis tasks.
* Billing data & reports monthly.
* Note-taking in team meetings and other meetings/conferences.
* Compile team updates and periodically distribute.
* Assist in content creation for presentations, conferences, seminars or in-person trainings. Proofreading, formatting or PowerPoint animations input may be components depending on the project.
* Coordination of events, travel or team activities.
* Complete all other tasks that are deemed appropriate for this role and assigned by the manager/supervisor.
Office management – arranging activities and maintaining relationship with office supplies vendors
* Greet visitors, ensure compliance with visitor/guest sign-in. Keep the reception area neat and clean.
* Greet interview candidates and notify the correct employee they are here to see; greet clients and welcome them.
* Notify employees in the event of special deliveries, coordinate the post, and deal with deliveries in general.
* Helping the Health and Safety manager with organizing the safe return to the office in case of drills or emergency situations.
* Office stock, purchases and orders; organizing couriers when needed.
* Support with new hires; ensure access to the building, IT set up, phone set up, health and safety checks on workstation, etc.
* Support the office on renovation works.
* Coordinate with the building team to make employees aware of updates, events or changes.
* Contact maintenance personnel when needed.
* Perform other special projects or duties when required.

Required experience and qualifications:
Minimum Bachelor's degree or its equivalent.
