Job overview The postholder will be responsible for the line management of the administrative team within the Endoscopy department which includes a team of schedulers and receptionists. This role will ensure the effective management of all patient pathways and service provision to ensure compliance against national and local access targets. The postholder will be engaged in various projects and service improvement initiatives in order to improve the delivery of high quality and compassionate patient care. Excellent communication, organisational and interpersonal skills are essential. You will also need to be flexible, have an appreciation of the confidential nature of the work and be able to manage a workload to meet pre-determined targets. Computer literacy would be essential as you will be expected to input and extract information from the Patient Administrative System, Endobase and other computing systems. Main duties of the job The post holder will lead and manage a team of Band 2-4 administrative staff, ensuring the delivery of an efficient and effective booking and administrative service. They will maintain a thorough understanding of administrative processes, liaising closely with GPs, Consultants, Clinical Leads, and wider staff to support service delivery. Responsibilities include monitoring and reporting on national performance targets (such as DM01, 18 Weeks, and Cancer targets), managing complaint investigations and responses within required timelines, and overseeing annual leave planning to ensure consistent service provision. The post holder will also be expected to deputise for the Assistant Service Manager when required, and must be able to collect, analyse, interpret, and present complex data to support business planning and informed decision-making. Person specification Qualifications Essential criteria 5 GCSEs or equivalent including Mathematics and English Experience Essential criteria Experience of working in administrative management. Experience in all aspects of staff management, including leading and required human resource procedures Ability to work under pressure to meet deadlines and cope with large workloads Desirable criteria Evidence of working as part of a wider Multi-Disciplinary Team. Skills Essential criteria Strong communication skills (written/verbal). Good interpersonal skills Able to deal with conflict management and problem solving Ability to use a wide range of IT packages such as excel, word, outlook Knowledge Essential criteria In depth knowledge of Access targets (DMO1) and management of patient pathways Knowledge of CRS and ENDOBASE Up to date knowledge of current NHS policies Knowledge of data analysis and statistics Desirable criteria Understanding of 18 week RTT and Cancer targets Other Essential criteria Able to work as an integral member of a team Be able to effectively communicate with patients and colleagues Ability to prioritise workloads to meet targets Knowledge of and ability to cross-cover colleagues' roles - CT, Mammography, plain film, general ultrasound & screening.
