The role supports the planning, scheduling, and deployment of field-based operations. You will ensure field-based operatives book as many work orders as practical while meeting client/contract response times and ensuring quality for works order completion. Field-based operatives work nationwide for a variety of clients and include directly employed operatives and subcontracted associates.
As a Planning Administrator within the Surveying Scheduling team, you will maximise appointment bookings to support the delivery of gas and electrical audits, energy performance assessment, stock condition surveys, fire risk assessments and other field-based activities as required.
Responsibilities
* Implement relevant surveying services scheduling processes to effectively deploy field-based operations in the most efficient way.
* Ensure sufficient appointments are booked on a contract-by-contract basis to fulfil contract requirements and drive operational and commercial performance.
* Work flexibly within the team, deploy resources, and handle inbound and outbound telephony demands.
* Collaborate with the Planning & Scheduling Manager – Surveying Services, Planning Coordinators, other schedulers, field-based operatives and Operations leaders to build rapport and trust.
* Manage tenant enquiries in a friendly and helpful manner; be confident with telephony and works management systems.
Responsibilities Include (additional detail)
* Scheduling planned appointments for field-based operatives using multiple works management systems
* Uploading projects to the online booking platform
* Retrieving booked appointments from the booking platform and entering onto the operating platform
* Mail merge letters for tenants
* Bulk text messaging
* Recording points of contact onto operating platforms
* Handling and resolving telephone and email enquiries from tenants
* Proactive outbound calls to arrange appointments
* Sharing ideas to continually improve scheduling (appointments made, kept, properties accessed)
Targets
* Productivity: ensure surveyors are fully booked each day
* Fulfilment of work orders (appointments, access, completion)
Requirements, Skills and Experience
