Facilities Coordinator at IDEXX
IDEXX is seeking an enthusiastic, hands-on Facilities Coordinator based in Wetherby, United Kingdom. This role offers an exciting opportunity for an experienced Facilities professional who is proactive, takes initiative, and aims to enhance our business operations.
Role Overview:
The Facilities Coordinator, supervised by the Facilities Manager UK, will oversee all facilities services at our Wetherby laboratory. The goal is to achieve operational agility, high employee engagement, cost efficiency, and safe & sustainable facilities management.
Key Responsibilities:
1. Serve as the primary point of contact for internal customer support regarding facilities services.
2. Manage work orders, including receipt, dispatch, and follow-up.
3. Maintain schedules for building and installation maintenance.
4. Oversee operational facilities management services and drive continuous improvement.
5. Manage site-related risks and support business continuity plans.
6. Lead local projects for capital improvements and manage small projects independently.
7. Handle administrative tasks such as sourcing quotes, verifying invoices, creating purchase orders, and updating work orders.
8. Coordinate with third-party suppliers ensuring compliance with IDEXX standards and procedures.
9. Conduct building audits to identify maintenance needs and ensure a tidy, standards-compliant environment.
10. Track maintenance services, asset renewals, and spare parts inventory.
11. Ensure compliance with regulations and internal health & safety procedures.
12. Manage stock of facility and office supplies.
13. Oversee safety and security measures.
14. Support the Quality Department in standards compliance.
15. Be available for after-hours emergencies and coordinate activities to minimize operational disruptions.
16. Participate in facilities management contract negotiations and related agreements.
17. Assist in implementing new technologies like space management, CMMS, and energy monitoring systems.
18. Contribute to committees such as Green Team, Social, and H&S Emergency Response.
Qualifications:
* Bachelor's degree in Facilities Management, Engineering, or Business Administration preferred.
* Minimum of 3 years of proven Facilities Management experience.
* Experience in asset maintenance and building installations.
* Strong organizational skills and the ability to manage multiple workstreams efficiently.
* Leadership skills to guide multi-disciplinary teams without direct authority.
* Problem-solving skills, including root cause analysis.
* Ability to prepare reports and presentations effectively.
* High customer service orientation and ability to manage expectations.
