We are seeking an experienced Office Manager to join our Hull team, 3 days per week, on a 12 month fixed term contract.
Responsibilities
* Carry out reception duties including operating the switchboard, screening, directing calls to the relevant department, and ensuring phone calls are answered in a timely manner
* Covering switchboard for other Vanguard locations as and when required
* Greeting visitors ensuring they sign in and arrange refreshments
* Carrying out general office administration duties to support the wider team
* Admin support to UK Operations Director and Group Technical Director
* Manage archiving for Vanguard including process for receiving documentation, storage and timebound process
* Vanguard wide vehicle fleet management for company cars and work vans – ensuring the fleet is complaint which includes, MOT’s, vehicle maintenance checks, insurance documents and driver details. Processing and managing vehicle fines and charges. Managing the companies fuel cards
* Managing general maintenance of the office and meeting rooms
* Keeping the insurance and accreditation certificates on display up to date and manage expiry dates
* Liaising with the procurement team and raising Purchase Orders for stationery and groceries, focusing on cost control
* Dealing with the daily incoming and outgoing post, distributing accordingly
* Arranging office events and supporting local ESG activities
* Ordering lunches for meetings and events
* Day to day management of cleaning contracts and signage cleaning to ensure they are providing the right level of service
Requirements
* Previous experience in a similar role
* Good IT skills particularly word, excel and outlook
* Excellent written and oral communication skills
* Exceptional organisation skills
* Self-motivated and experienced in managing multiple priorities
* Ability to work pro-actively and without regular supervision
* Flexible approach to work
* Organised and able to prioritise, excellent time management skill and ability to meet deadlines
* High level of attention to detail
* Ability to work on own initiative and/or part of a team

* 25 days annual leave per year (Jan – December) + UK bank holidays (Pro-rated)
