Job Summary

Are you a motivated and organised individual looking to make a difference in a meaningful environment?

St Leonard's Hospice is seeking a full-time Estates Administrator to join their dedicated team supporting the smooth and efficient running of the Corporate Services and Health & Safety operations.

In this varied and rewarding role, you'll provide essential administrative support to help maintain health, safety and compliance standards and ensure a professional, responsive service is given to staff, contractors and other key stakeholders.

This is a full-time position working 37.5 hours per week between office hours, Monday to Friday.

Main duties of the job

Key Responsibilities Of The Estates Administrator Role Are:

Serve as the primary point of contact for all estate-related visitors and enquiries
Assist with the coordination of the organisations health and safety management system
Administer compliance and maintenance records for estate assets
Ensure governance and compliance around building safety including coordinating the Hospices risk register

Previous experience of working in a busy office environment
Excellent communication and organisational skills including being able to multi-task and manage conflicting priorities
Confidence in using IT systems and handling sensitive information
A friendly and professional approach to customer service
An ability to work independently and as part of a team

Coordinatethe organisations health and safety management system, allocating jobs to staff efficiently and tracking completion to ensuretimely service delivery.
Liaisewith suppliers and contractors, coordinating work as directed, following up on requests, monitoring progress, andescalating issues to the Estates Manager as required.
Administercompliance and maintenance records for estate assets, monitoring servicing schedules and documentation to ensure adherence toBS standards, UK regulations, and environmental and safety requirements,escalating as required.
Ensuregovernance and compliance around building safety, including the co-ordinationof the risk register, maintaining up-to-date records, reviewing and updatingdocumentation, and supporting preparation of reports, audits, and regulatorycompliance activities.
Order andmaintain corporate services supplies, ensuring compliance with purchasing andfinance procedures.
Schedule meetingsand appointments, prepare rooms, take minutes and circulate agendas and actionpoints.
Supervise estate-basedvolunteers, providing support where needed to help them achieve their fullpotential.
