Contracts Administrator/Document Controller

Im currently supporting a client in their search for a highly organised and detail-focused Contracts Administrator/Document Controller. This position plays a key role in managing documentation across multiple projects, ensuring accuracy, compliance, and timely submission to stakeholders. The ideal candidate will bring strong administrative capabilities, excellent attention to detail, and confidence handling a high volume of documentation in a fast-paced environment.
Day-to-day Duties of the role:
* Technical Submissions (Tech Subs): Assemble documents, ensure correct numbering, categorize, and submit to clients.
* Request for Information (RFIs): Compile, number, and submit RFIs to clients.
* Site Reports: Collaborate with the Contract Manager to ensure completeness, highlight outstanding items, and compile for client submission.
* Document Trackers: Maintain and update trackers for various documents including procurement, RAMS, drawings, and more.
* ASTA Programmes: Create and manage schedules, update bi-weekly, and integrate site progress.
* Distribution of Paperwork: Coordinate with the Contracts Administrator to distribute all documents to clients and track feedback.
* Site Safety Folders: Create and ensure all necessary information is included and dispatched before project commencement.
* O&M Manuals: Compile, manage, and ensure accuracy of all information, oversee printing and presentation.
* Emergency Lighting Logbooks: Review drawings, record lighting types and quantities, and include relevant data.
* Certificate Updates & Tracker Maintenance: Update certificates and maintain the document tracker.
* Pre-Start Meetings: Attend meetings, record minutes, and manage project communications.
* Security Requirements: Handle security documentation and ensure staff clearance for site access.
Additional General Duties:
* Answering phones, greeting visitors, and managing entry.
* Handling mail distribution, signing for deliveries, and managing postal tasks.
Required Skills & Qualifications:
* Proven experience in document control or a similar administrative role.
* Strong organizational and multitasking abilities.
* Excellent communication skills and attention to detail.
* Proficiency in MS Office and document management software.
* Ability to work independently and as part of a team.
