Key work areas and tasks
Correspondence, reports and other documents
* Manage incoming and outgoing post in the Stroud office and Cirencester office when required.
* Produce information using spreadsheets and databases.
Email administration
* Provide administrative support with email advice by uploading emails and attachments to our Case Recording System in accordance with our processes.
* Respond appropriately to emails from clients and partner agencies.
* Check the accuracy of the information supplied in emails and respond if further action is needed.
* Full training will be given in email administration.
Administration
* Assist in setting up the office on a daily basis, ensuring equipment is working and maintained and stationery supplies are adequate.
* Support advisers with basic IT eg logging onto machines and liaise with our third-party IT support and photocopier support when needed.
* Provide administrative support to volunteer advisers, caseworkers and supervisers.
* Answer the admin telephone helpline and refer calls or take messages as necessary.
* Answer the client helpline to provide cover during staff absences or annual leave.
* Provide a professional and welcoming first point of contact for clients and other visitors attending the office, ensuring all procedures are followed accurately and consistently.
* Support the delivery of projects, which may involve contacting clients and partner agencies by telephone and email, including helping to arrange events.
* Update and maintain accurate case records.
* Create, maintain and archive paper and electronic filing systems in accordance with the organisation's systems and procedures.
* Deal with confidential documents and ensure confidentiality of information in respect of records maintained and tasks undertaken.
* Attend meetings as agreed with the Core Service Support Officer.
* Provide information on the service.
Job Type: Part-time
Pay: Up to £16,379.75 per year
Expected hours: 22.5 – 25 per week
