We are working with a top International Law firm who is looking for a Legal Personal Assistant (PA) to support fee earners within a Private Client family Team. The role involves providing high-quality secretarial and administrative assistance to ensure the smooth and efficient running of client matters, with a focus on discretion, efficiency, and excellent client service.
Key Responsibilities
* Administrative & Secretarial Support
* Manage diaries, appointments, and meetings for fee earners, ensuring deadlines and key court dates are met.
* Handle email inboxes and incoming calls on behalf of fee earners, prioritising communications effectively.
* Open, close, and archive client files in compliance with firm procedures and regulatory requirements.
* Client Care
* Act as a first point of contact for clients, maintaining professionalism, empathy, and confidentiality at all times.
* Provide updates to clients and liaise with barristers, courts, and third parties as directed by fee earners.
* Case Management & Documentation
* Assist with case preparation, including compiling and paginating court bundles.
* Ensure compliance with court rules, deadlines, and internal procedures.
* Financial Administration
* Prepare and process invoices, time recording, and expense claims.
* Monitor and manage client account transactions in line with SRA rules.
Skills & Experience Required
* Essential
* Previous experience as a Legal PA/Secretary within a Family Law department.
* Excellent typing and document production skills, including proficiency in Microsoft Office and case management systems.
* Strong organisational skills with the ability to prioritise competing deadlines.
* Exceptional written and verbal communication skills.
* High level of discretion and sensitivity when dealing with confidential matters.
* Ability to work independently and as part of a team.
* Desirable
* Familiarity with court procedures in family law (divorce, financial remedies, children matters, injunctions).
* Experience in billing and financial administration within a legal setting.
