The role would suit an organised, resilient, and detail-oriented person with previous experience in an administrative role. You would ideally have experience of supporting a team of people as well as working on a one-to-one basis and be adept at using various platforms for information production and storage. The success of this role is somebody that is integrated within both the Cities Engineering & Office Support team, and the Engineering teams they directly support, who is able to pre-empt the needs of the teams and act on these before needing to be asked.

Your key duties Group Coordination
6. Manage allocation of IT hardware and software, ensuring that the IT requirements of the group are notified to IT support
7. Liaising and working with central business services teams when required
8. Assisting Business Development/ Marketing with creating bid submissions and preparing new and existing CVs and project sheets where applicable
9. Typing, formatting, reviewing and modification of correspondence and documents prepared by the technical staff – ensuring the Brand guidelines are followed
10. Prompt Engineers to complete their weekly timesheets
11. Creating team presentations for office communications and team meetings
12. Coordinating multidiscipline reports – highlighting deadlines, template usage and set up, etc. Where possible, attend initial meetings with key collaborators – highlighting template needs/ requirements.
13. Arranging, attending, and taking minutes including follow up action points for internal group and client meetings for the engineering teams where applicable
14. Arranging discipline team away days / events including organising CPDs
15. Managing and coordinating business travel arrangements for the team, using an online platform and liaising with the external Travel Management Company and Visa Agent when required
16. Working alongside Welcome Coordinators to facilitate onboarding of new starters, including in-person support on first day and beyond
17. Coordinate and arrange Career Path Objective meetings for the team – twice a year
18. Update and maintain Magellan SharePoint pages and filing for teams
19. General ad-hoc admin duties, including converting documents, updating team structural charts, managing team calendars, managing team databases.

Your skills and experience
24. Excellent computer and IT skills including; Word, Excel, PowerPoint, SharePoint and Teams
25. Experience of setting up and maintaining administrative procedures
26. Experience of maintaining quality management systems
27. Good communication skills
28. Confident, proactive character, with the ability to take the lead in challenging situations and problem solve
29. Must be adaptable and open to change
30. High level of attention to detail
31. Experience of working with all levels of seniority
32. Knowledge of InDesign would be desirable – training will be provided
33. Knowledge of Photoshop and Illustrator would be desirable – training can be provided
34. Solid foundation of office experience
35. Working to multiple deadlines
36. Experience of supporting large teams and working across offices
37. Experience of supporting a team of people as well as working on a one-to-one basis
