Role Overview: Project Coordinator
The Project Coordinator is a vital team member responsible for multitasking and prioritizing workload in a busy environment. This role is based in our Mallusk office and supports HVAC Capital Works projects in Northern Ireland.
Key Responsibilities
1. Coordinate site construction projects to ensure effective and timely execution.
2. Manage scheduling of engineer diaries for optimal project coverage.
3. Handle incoming calls efficiently, recording and managing them to standard.
4. Support clients via telephone and email.
5. Log and assign response maintenance calls promptly.
6. Process operative paperwork and close calls for payment submission.
7. Respond within agreed time frames and service levels to meet work order requirements.
8. Achieve targeted KPIs related to contract obligations.
9. Assist in cross-training team members for comprehensive contract coverage.
10. Perform routine administrative tasks.
11. Communicate with stakeholders and clients effectively.
12. Escalate issues early to line managers or clients.
13. Undertake additional duties as directed by management.
14. Ensure compliance with policies and procedures.
15. Support application and certification processes from authorities/clients.
16. Work safely and diligently, adhering to data protection laws.
17. Organize daily schedules for multiple operatives and manage materials and supplies.
18. Maintain professionalism and confidentiality at all times.
19. Calculate engineer performance metrics and bonuses.
Person Specification
* At least 1 year of experience in an office environment.
* Minimum of 5 GCSEs, including English and Maths.
* Proficient in Microsoft Office applications.
* Proactive, independent worker with limited supervision.
* Strong customer focus and professionalism.
* Excellent organizational and communication skills.
* Ability to work collaboratively and develop good relationships.
* Flexible, positive attitude, and adaptable to change.
* Trustworthy, approachable, and a 'can-do' attitude.
