We are currently seeking to appoint aMedical Secretary for 20 hours per week at our friendly, supportive practice,To provide general secretarial support to the Practice Manager,General Practitioners, and other Health Care Professionals, involving managingreferrals including general clerical work over two sites.
Hours of work will be:
Monday 14.00pm 18.00pm
Tuesday 09.00am -15.00pm
Thursday 14.00pm -18.30pm
Friday 13.00pm 17.30pm

Main duties of the job
To provide an efficientcopy typing and word processing service for GPs and health professionals asrequired. This includes the typing of letters, reports, patient referrals,minutes in an accurate and quality manner.
To assist the Practice Manager with all clerical and administrative duties.
Tomake appointments, bookings and admissions as required.
Toestablish and maintain filing and administrative systems so that writtenor computer information is easily accessible and secure.
Toreceive incoming and initiate outgoing telephone calls in order tofacilitate timely and appropriate communications with others, takingmessages and dealing with appropriate queries.
Tomaintain the computer clinic system in an accurate and secure manner.
Toassist with the gathering of statistics and information when required.
Toprovide cover for members of the secretarial team during periods ofsickness and annual leave.
Toprovide cover for members of the reception team during periods of sicknessand annual leave

The clinical team consists of five GP Partners, two Salaried GPs, three Practice Nurses and four Healthcare Assistants as well as the extended team of pharmacists, social prescribers and first contact practitioners, who are all supported by a committed administrative and managerial team.
Job responsibilities
Typing and preparing clinical letters, referrals,reports and general correspondence accurately and within agreed timescales
Managing incoming and outgoing patient referrals,ensuring all relevant information is complete and recorded correctly
Handling patient queries professionally bytelephone, email and in person, providing information and escalating concernswhere appropriate
Maintaining and updating patient records in linewith confidentiality and data protection requirements
Scheduling appointments, clinics and meetings, andcoordinating diaries for clinicians or medical staff
Liaising with GPs, hospitals, consultants and otherhealthcare professionals regarding patient care and referrals
Processing incoming mail documentation efficiently
Ensuring accurate filing, scanning and documentmanagement within electronic medical record systems
Supporting clinicians and the wider administrativeteam with day-to-day office duties
Monitoringand responding to urgent requests and prioritising workload effectively
Maintaininga high standard of customer service and compassionate communication withpatients and relatives
Following practice policies, NHS guidelinesand confidentiality procedures at all times

Qualifications
* Previous experience in a medical secretary or healthcare administration role
* Excellent typing skills with strong attention to detail
* Strong communication and interpersonal skills
* Ability to manage patient queries calmly and professionally
* Good organisational skills and ability to prioritise workload
* Experience using medical systems and Microsoft Office applications including system one experience and ERS
* Understanding of patient confidentiality and data protection requirements
* GCSE Grade C/4 or above in English and Maths (or equivalent qualification) essential
* Experience of working in a previous secretary role in Primary or secondary care
