Legal Administrator Location : Knowle, near Solihull, B93 Hours: 9.00am-5.00pm Salary: 23k-25k Main purpose of job The prime role of Secretarial /Administrator is to provide direct support to the Managing Director and fee earners to enable them to operate at optimum efficiency in a legal environment. This will include but will not be limited to the main responsibilities given below. The person in this role is expected to use a high degree of self-management and initiative. Key tasks Assist the Managing Director in day to day organisational tasks Answer telephone and redirect calls to the relevant person in a professional manner Meet & greet clients/visitors Manage opening and closing office checklists Prepare and frank post in the evening Open and sort post in the morning Prepare correspondence and documents through audio-typing, word processing and precedent letters. Administer filing which will include daily filing and the opening, closing, storage and retrieval of client files in accordance with the detailed procedures contained in the office manual. Prepare mail and enclosures for dispatch. Arrange for all requested copying to be done. Make appointments, arrange meetings and to maintain an up to date diary for fee earners and meeting room. Provide support to others as required. Attend clients both in person and on the telephone and to provide such support in a professional and friendly manner in keeping with the firm’s standards for client care. Undertake any specific training when required to do so and overall to have a responsibility towards self-development. Ensure the confidentiality of all the firm’s and clients documentation and information. Knowledge and Experience Required Knowledge of legal business operations and procedures (helpful) Knowledge of software CRM/Case Management Systems Basic understanding of book keeping (if possible) Minimum of 6 months work experience as a secretary/admin Skills Required Have excellent organisation skills Have good secretarial skills Be interested in law and business in general Be computer literate Work accurately and pay attention to detail Be very discreet, as you will be dealing with confidential information Have a good standard of English, spelling and grammar Be able to work to deadlines
