Job description
We are seeking for an individual to provide general operations support to the Argon & Co team and carry out administrative tasks for the business.
Key Responsibilities:
All aspects of the operations and IT areas of the business are potentially in scope. Specific examples include:
Office management and maintenance
* Ongoing office management and maintenance as required (ongoing check of office facilities, arranging repairs as required, accepting deliveries, ensuring office supplies are kept replenished e.g. stationery, office IT equipment, refreshments, printing and binding supplies, recycling collection bags etc., regularly watering plants, daily cleanse of coffee machines
* General hospitality for visitors to the office (checking them in to our visitor portal, meeting them, offering refreshments)
* Managing office suppliers (e.g. IT support, AV team, alarm security, cleaners, handymen, milk delivery, building management team)
* Act as fire marshal, emergency first aider, and security key holder
* Meeting set-up support (support in booking meeting rooms as required and ensuring they are ready for external visitors, support with technical difficulties as required)
* Ensuring venues, restaurants and any supporting materials are set up for office days, training days, and other events
* Knowledge and ownership of our office use guidelines and policies
* Other tasks as reasonably required
Supporting the business
* Initial point of contact for day-to-day issues (e.g. emergency IT support, resolving issues regarding the set-up of new accounts, chasing suppliers to resolve problems)
* Main point of contact for setting up client contracts through DocuSign, and follow up with project managers to ensure client contract compliance is maintained
* Support with the client feedback process, and work with the client feedback team to ensure feedback interviews are set up, compliance is tracked accurately, and insights are recorded
* Own the Operations elements of the new joiner and leaver processes, e.g. coordinating with IT Support Team to set up phones and laptops, sharing event invitations, assembling the new joiner pack, ensuring timely return of assets upon leaving dates
* Support with the laptop renewal and replacement process, e.g. setting up spare laptops as required, organise laptop renewals, coordinate repairs with IT Support Team, maintain asset list as and when there are changes
* Support with managing the UK and Ireland business phones contracts, e.g. ordering new phones, escalating to account manager where required, providing monthly invoice reporting
* Own the weekly, monthly and annual action tracker to ensure regular actions are completed in line with deadlines, e.g. annual PAT testing, fire safety refreshers etc.
* Ensure records are accurate and up-to-date, e.g. the laptop asset list, SharePoint access list, office asset register, contract tracker
* Support in meetings and with meeting preparation as required e.g. the monthly Operations meeting
* Support with internal projects as required (policy renewals, M&A integration, GDPR compliance, IT security etc.)
* Support consultants with ad hoc business requests and day-to-day assistance
* Support other internal functions as required
