Subject Access Clerical Officer

We are seeking a highly organised and detail-oriented Subject Access Clerical Officer to join our busy Subject Access Team. This role is essential in ensuring that requests for access to medical records are handled efficiently, accurately, and in full compliance with relevant legislation.
Job summary
Provide administrative support, manage telephone/email enquiries, liaise with stakeholders, verify and process subject access requests, maintain GDPR and Health Records Act compliance, retrieve medical records, perform data entry, prepare correspondence, manage photocopying/scanning, review applications, support digital transformation, and train colleagues.

Key duties and responsibilities
- Provide administrative support to the Subject Access team
- Handle telephone and email enquiries from internal and external contacts
- Liaise with healthcare staff, patients, relatives, police, local authorities, solicitors, and other NHS organisations
- Support the verification and processing of Subject Access Requests (SARs) ensuring statutory compliance
- Maintain understanding of GDPR and Access to Health Records Act 1990
- Retrieve medical records and diagnostic images for access requests
- Undertake accurate data entry on Trust systems
- Prepare and send correspondence (letters, responses)
- Carry out photocopying, scanning, and extraction of digital records for SAR applications
- Review completed requests before release to ensure legal and quality standards
- Perform daily postal duties (collection, sorting, outgoing)
- Contribute to the Trust's digital transformation initiatives
- Support and guide less experienced colleagues
- Undertake any other duties appropriate to the role
Essential qualifications
- English GCSE
- Computer literacy
- Customer service/administrator experience
Desirable qualifications
- NHS or public sector experience
- Friendly demeanor
