The success of our Academy is greatly assisted with efficient, effective planning and administration. The Flight Training Administrator is responsible for supporting the Flight Training team with a focus on collecting and managing data, assisting in monitoring student progress, and, through the Chief Flying Instructor, providing required reports to Head of Training.
Attention to detail, accuracy, initiative and excellent communication skills are essential qualities to enable success in this role.
This is a full-time role working 37.5 hours per week, based at our Oxford Campus.
Key Responsibilities
* Assist with the tracking of student progress throughout their training by maintaining excellent communication with all relevant departments.
* Manage and submit license applications for students completing their training, ensuring full compliance with UK and European National Aviation Authority regulations.
* Coordinate the compilation of End of Course Reports for graduating students.
* Input student test results and statistics into the training records system.
* Create, maintain and archive student files in line with departmental, regulatory and GDPR requirements.
* Provide the Training Review information to the Training Management team and Heads of Department and ensure the distribution of appropriate documentation within the business.
* Coordinate flight training inductions for new students arriving at our Oxford flight training base.
* Assist students as required with regular training logbook checks, ensuring flights are logged in line with the course syllabus.
* Assist the Customer Experience Manager and Team with administrative duties which relate to the in‑house customers, such as arrival and departure arrangements, including file creation and shutdown, in line with governing body regulations.
* Reviewing student medical validity, EASA Nation states, expiry dates and approving Flight logger uploads.
* Provide ad‑hoc administrative support, and other similar tasks required by the Training Management team.

Core Competencies
* An experienced administrator, with high competence working in a varied role.
* Excellent I.T skills, proficient using systems and in the full use of Microsoft Suite.
* Familiarity with regulatory requirements for flight crew licensing (e.g., EASA, CAA, or other relevant authority) is highly desirable.
* Excellent organisational skills, with excellent attention to detail and time management skills.
* Strong and demonstrable experience taking initiative in your work.
* A can‑do attitude with the willingness to go the extra mile for the Customer.
