Executive Administrative Assistant

Abbotsholme is a co-educational, boarding and day school set in a large, beautiful estate on the Staffordshire/Derbyshire border. PURPOSE

To provide comprehensive secretarial and administrative support to the Headteacher and SLT in the smooth and efficient running of the school.

DUTIES

Under the direction of the Headteacher, the Executive Administration Assistant will be responsible, in collaboration with other office staff, for all aspects of the day-to-day organisation and administration of the school. Please note that the post holder may be required to work outside of normal school working hours for school events and meetings. This will include ensuring the Headteacher and members of the SLT, as authorised by the Headteacher, are fully supported in all aspects of their work including confidential matters.

The role will include but not limited to:

1. Take ownership for all of the school Calendars ensuring accurate information is available to staff, parents and other stakeholders.

2. Maintaining Student Absence Requests and responding to Parents requests.

3. Assist with communications to Parents.

4. Assisting and leading certain areas of the pupil management system.

5. Set up (after its creation by the Head of Faculty with responsibility for school timetabling) and maintenance of the timetable.

6. Assist with collating and proof-reading pupil school reports ensuring accurate completion before being sent to parents.

7. Assist with planned cover for Reception covering Breaks and Lunch on a rota basis.

8. Assist with diaries and meeting schedules of the Headteacher.

9. Ensure the smooth running of the Headteacher's office including taking calls and messages in the Headteacher's absence, booking appointments at the Headteacher's request, and other adhoc. administration requests.

10. Ensure all communication from the Headteacher's office is of the highest standard.

11. Support with attendance, in line with DfE guidance

12. Ensure that the Headteachers office is extremely well organised and that a strict level of confidentiality is adhered to.

13. Assist the Old Abbotsholmian's with meeting bookings, catering requirements and access to site on the day.

14. Assist the Headteacher with admin support from requests of the Abbotsholme Parents Association.

15. Promoting and safeguarding the welfare of children and young persons for whom you are responsible and with whom you come into contact with.

16. To work collaboratively with colleagues and teams within Abbotsholme School, such as Admissions, Teaching, Finance, IT, Operations and the Senior Leadership Team to ensure the smooth running of the school

17. Attend training sessions and meetings as required.

18. Assist the Exams Officer as required

This job description is intended to give the post holder an appreciation of the role and range of duties. It does not attempt to detail every activity and specific goals.

Job Type: – Full time, 52 weeks per year.

Schedule: - Monday to Friday, 8:30a.m. to 5:00p.m.

Work Location - In person

Salary – Competitive depending on experience
