Job Title: Accounts and Administration Manager Reports To: Managing Director Job Type: Full-Time | Office-based (Lincolnshire HQ) Job Overview We are Spericle Group of Companies, a growing organisation comprising property management, construction, and maintenance divisions. We are seeking an experienced and detail-oriented Accounts and Administration Manager to take ownership of our day-to-day financial operations and administrative processes across the group. This role is ideal for an organised and analytical individual with strong bookkeeping and financial management skills, AAT qualification (or working towards it), and QuickBooks Online experience. The successful candidate will ensure accuracy in financial reporting, compliance with statutory obligations, and efficiency in administrative coordination across multiple business areas. Responsibilities Financial Management Maintain accurate and up-to-date financial records across multiple entities using QuickBooks Online. Oversee purchase and sales ledgers, reconcile bank accounts, and process supplier payments. Manage invoices, expenses, and petty cash in accordance with company procedures. Prepare and submit VAT returns and liaise with external accountants for statutory reporting. Produce monthly and quarterly financial summaries, including cash flow updates and budget tracking. Support the Managing Director with financial planning, budgeting, and cost analysis. Ensure compliance with HMRC regulations and relevant accounting standards. Conduct periodic internal checks to ensure financial accuracy and integrity. Administration & Operations Oversee day-to-day administrative functions, ensuring smooth coordination across departments. Manage company documentation, supplier contracts, and compliance records. Maintain accurate filing systems and ensure key business information is organised and accessible. Assist the Managing Director with operational correspondence, document preparation, and reporting. Liaise with suppliers, contractors, and external partners to ensure effective communication and timely resolution of issues. Support continuous improvement of office systems, record-keeping, and workflow efficiency. Leadership & Compliance Supervise and support junior administrative staff where applicable. Ensure all financial and administrative procedures comply with company policy and legal requirements. Implement best practices to streamline operations and enhance accuracy. Maintain confidentiality and uphold professional standards in all financial and administrative matters. Qualifications and Experience AAT Level 3 or above (or equivalent qualification) essential. Proficiency in QuickBooks Online essential. Minimum 3 years experience in bookkeeping, accounts, or financial administration. Strong understanding of accounting principles and financial control. Proficient in Microsoft Office (Excel, Word, Outlook). Excellent organisational, analytical, and communication skills. Ability to manage multiple tasks, prioritise effectively, and meet deadlines. Experience within the property, construction, or maintenance industry desirable. Full UK driving licence desirable.
