Internal Project Administrator - Lighting Sales Salary: Up to £32,500 bonus Location: Hatfield Business Park (Office-based) Hours: Early shift - 8:00am to 4:30pm (Mon-Thurs) / 8:00am to 3:30pm (Fri) Late shift - 8:30am to 5:00pm (Mon-Thurs) / 8:30am to 4:00pm (Fri) Job Type: Full-time, Permanent About the Role An exciting opportunity has arisen for an Internal Project Administrator to join a rapidly growing UK-based lighting business. The role involves providing prompt and effective office-based support for all aspects of project work, acting as a key point of contact for both customers and the external sales team. You will manage sales administration processes from initial enquiry through to delivery, ensuring excellent customer service and accurate order management. This role is central to supporting growth, maintaining high standards of service, and ensuring projects run smoothly. Key Responsibilities Customer Service & Sales Support Handle first- and second-line enquiries via phone and email. Provide outstanding service to both internal and external stakeholders. Allocate incoming sales queries to the relevant sales executives. Coordinate technical project queries with the technical team. Support sales colleagues by ensuring quotations are followed up promptly. Order & Project Administration Create and maintain customer accounts. Process quotations and sales orders accurately from customers and the external sales team. Check purchase orders against existing quotations. Monitor orders in progress, resolving queries and scheduling deliveries (including phased deliveries). Identify potential order or delivery issues and communicate with clients in advance. Manage and file sales order records and issue invoices to customers. Liaise with production teams for courier bookings and logistics requirements. Administrative Duties Chase unpaid invoices (overdue 3 weeks). Process credit card payments and capture data into internal systems. General filing and ad hoc administrative support. Key Requirements Minimum 2 years' experience in sales administration (required). Experience in the lighting industry or related field (advantageous). Proficient in MS Office with strong IT and organisational skills. Experience with MRP/ERP systems - Priority Software knowledge is an advantage. Excellent spoken and written English, with strong attention to detail. Personable, helpful, and confident in handling customer interactions. Ability to multitask, prioritise workload, and work under pressure. Self-motivated, methodical, and analytical. A strong team player who can also work independently.
